About The Position

The Executive Administrative Assistant provides comprehensive administrative and operational support to the Division of Strategic Initiatives and Partnerships by coordinating division-wide operations, communications, projects, and special initiatives. The position serves as a central point of coordination for divisional activities, ensuring the efficient execution of priorities and the effective delivery of services across all departments and programs.

Requirements

  • Candidates must demonstrate a history of: Coordinating complex administrative operations, projects, or special initiatives.
  • Managing multiple priorities while maintaining exceptional organizational skills, accuracy, and attention to detail.
  • Preparing professional correspondence, reports, presentations, and other executive-level communications.
  • Exercising independent judgment, discretion, and sound decision-making while handling confidential and sensitive information.
  • Must be available to work occasional evenings, weekends, and travel as required to support divisional programs, events, and institutional initiatives.

Nice To Haves

  • Bachelor’s degree in business administration, higher education administration, public administration, communications, or a related field preferred.

Responsibilities

  • Coordinates division-wide operations, administrative processes, and special projects to ensure the efficient execution of departmental priorities and strategic initiatives.
  • Manages the administrative operations of the Division, including calendars, meetings, travel, correspondence, purchasing, records management, budget documentation, and other operational activities.
  • Develops and maintains administrative systems, workflows, and organizational processes that improve efficiency, communication, and operational effectiveness across the Division.
  • Coordinates divisional meetings, programs, events, and special initiatives by managing logistics, communications, materials, and follow-up activities.
  • Serves as the primary administrative liaison for the Division by coordinating communications and cultivating collaborative relationships across the College and with external partners.
  • Prepares reports, presentations, correspondence, meeting agendas, minutes, and other administrative documents that support divisional operations and executive decision-making.
  • Maintains confidential records and information while exercising sound professional judgment, discretion, and adherence to institutional policies.
  • Represents the Division of Strategic Initiatives and Partnerships through institutional initiatives and performs other duties that advance the mission and strategic priorities of Livingstone College.
