About The Position

The Building & Inspections Administrative Assistant provides advanced administrative, secretarial, and clerical support to the Building & Inspections Department while serving as a key resource for departmental operations. This position coordinates administrative functions, supports the Department Director, facilitates communication between the department and internal and external stakeholders, and helps ensure the efficient delivery of services. Work involves preparing correspondence and reports, coordinating meetings and projects, maintaining departmental records, assisting with administrative processes, and serving as a liaison between the department, other Town departments, external agencies, and the public. This position requires strong organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment. Work is performed under general supervision and evaluated through observation, conferences, and the quality, accuracy, and effectiveness of completed work.

Requirements

  • Associate's degree in Office Administration, Office Technology, Business Administration, or a closely related field from an accredited college or university
  • Two (2) to four (4) years of directly related administrative support experience OR An equivalent combination of education and experience sufficient to successfully perform the essential duties of the position
  • Possession of a valid North Carolina Driver's License

Responsibilities

  • Provide advanced administrative and clerical support to the Building & Inspections Department and Department Director
  • Draft, prepare, and edit reports, correspondence, presentations, and other administrative documents requiring research, analysis, and interpretation
  • Receive, screen, and route correspondence, phone calls, and other communications to appropriate staff
  • Serve as a liaison between the department, other Town departments, external agencies, contractors, and the public
  • Assist customers by providing information and directing them to appropriate Town services, departments, and resources
  • Coordinate agendas, meeting materials, and logistical arrangements for meetings, conferences, workshops, and departmental events
  • Support the day-to-day administrative operations of the department and communicate operational matters with leadership
  • Attend meetings as a participant or representative of the department as assigned
  • Develop, implement, and maintain administrative processes that improve departmental efficiency and organization
  • Maintain departmental files, records, databases, and other administrative systems
  • Assist with technical and administrative projects as assigned
  • Perform other related duties as assigned
