About The Position

The role is responsible for a wide variety of administrative duties in support of the Executive Team of the Bank (direct reports of the CEO), as well as acting as a backup to the Executive Assistant to the CEO.

Requirements

  • Completed post-secondary education or equivalent
  • Previous experience in a senior administrative support role, supporting multiple executives
  • Demonstrated knowledge and experience with latest office procedures and processes
  • Advanced verbal and written communication skills
  • Ability to maintain and build positive relationships with all organizational levels within HomeEquity Bank and external parties
  • Compose correspondence and prepare professional memos, letters, reports, spreadsheets and presentations
  • High level of confidentiality and discretion, especially when dealing with proprietary or sensitive information
  • Possesses sound judgment and demonstrates initiative, with the ability to work with minimal supervision/direction in managing own time and projects
  • A strong customer service focus, superior interpersonal and time management skills, the ability to effectively manage multiple tasks simultaneously
  • Able to work flexible or overtime hours and be on call to meet challenging and changing deadlines
  • Fully proficient with the use of current office technology - smartphones, tablets, laptops and other tools, as well as software applications (Microsoft Outlook, Teams, Word, PowerPoint, etc.)

Responsibilities

  • Prioritize and support day to day activities, meetings, guests, calendaring, emails, phone calls, commitments, appointments, to facilitate the most efficient use of time for executive members.
  • Assist with preparing travel schedules, booking travel arrangements and making reservations for senior management or executive staff.
  • Coordinate the logistical aspects of Executive Team programs, such as meetings, seminars, workshops, special projects and events.
  • Review all documents, reports and correspondence prepared for signature of the Executive for format, content, grammar and spelling, making edits as necessary.
  • Demonstrates solid judgment in acting as the gatekeeper of the designated Executive’s priorities and appointments.
  • Individual ad hoc projects for executive members.
  • Support the expense reporting and processing to ensure timely and accurate reimbursement.
  • Support the preparation presentations and draft reports, background documentation, and research.
  • Receive incoming mail; review, evaluate, and distribute correspondence requiring priority attention of members of the executive team.
  • Support the facilitation of communication from department and business unit leaders, and project managers.
  • Provide front desk coverage during reception or office team scheduling conflicts and absences to ensure seamless daily operations and consistent service for internal and external visitors.
