Role Overview The Executive Administrative Assistant provides quality and customer oriented administrative, operational, and coordination support to the Vice President, Global Services Finance. This role serves as a trusted partner, enabling effective leadership, prioritization, and execution across a complex, global, and highly matrixed organization. The position requires strong judgment, discretion, and organizational agility, along with a global mindset, technology‑enabled ways of working, and the ability to collaborate seamlessly across functions, regions, and senior leadership teams. The Executive Administrative Assistant operates with a high degree of independence, proactively anticipating needs, managing competing priorities, and supporting leadership engagements, key meetings, and enterprise initiatives.

Requirements

  • Bachelor’s degree preferred or equivalent combination of education and relevant executive administrative experience
  • 5+ years of progressive administrative or executive support experience.
  • Experience supporting senior leaders (VP or equivalent) in a complex, fast‑paced, matrixed organization
  • Strong judgment, organization, prioritization, and problem‑solving skills
  • Excellent communication and collaboration skills with comfort engaging senior stakeholders globally
  • Strong proficiency in Microsoft 365 tools (Outlook, Teams, PowerPoint, Excel), Co-Pilot; digital and AI fluency preferred
  • Ability to work independently while partnering effectively across teams and regions

Responsibilities

  • Proactively manage complex calendars, meetings, and priorities across global time zones
  • Act as a strategic gatekeeper for the VP’s time and leadership engagements
  • Coordinate leadership meetings, working sessions, and executive forums, including agendas, materials, logistics, and follow‑ups (virtual and in‑person)
  • Serve as a liaison across Global Services, enterprise partners, sectors, and senior stakeholders
  • Handle sensitive and confidential information with discretion and sound judgment
  • Manage expenses, travel, and administrative processes in alignment with enterprise policies
  • Leverage digital and AI‑enabled tools (e.g., Microsoft 365, Copilot) to enhance productivity and ways of working
  • Identify opportunities to streamline processes and continuously improve executive support
