About The Position

The Administrative Assistant provides administrative and executive support to different departments and managers within the company. This role involves leading in analytical and specialized administrative support to executives, administrative, and staff managers of complex duties. The position also recommends process improvements, compiles data, prepares reports, and leads activities and events between departments. Ensuring efficient handling of incoming calls, visitors, and emails, developing files, records, schedules, and agendas are key aspects of this role. The Executive Administrative Assistant is responsible for the efficient, reliable, and cost-effective fulfillment of current and future administrative needs of the organization, including organizing meetings and business trips, and greeting visitors while addressing their requirements and inquiries.

Requirements

  • Relevant work experience or knowledge of the role.
  • Must be a team player able to work in a fast-paced environment with demonstrated ability to handle multiple competing tasks and demands.
  • Strong organization, planning and time management skills to achieve results.
  • Holds self-accountable to achieving goals and standards.
  • Proficient in Microsoft Office programs (Outlook, Word, PowerPoint, and Excel).

Responsibilities

  • Ensures incoming calls, visitors, and emails are being responded to in an efficient manner.
  • Develops all files, records, schedules and agendas.
  • Responsible for the efficient, reliable, and cost-effective fulfillment of current and future administrative needs of the organization.
  • Organizes meetings and business trips (tickets, taxis, hotel reservations, etc.) for company employees and visitors.
  • Greets visitors in the office and addresses their requirements and inquiries to the respective employees from different departments.
