About The Position

Provide high-level administrative and operational support to a designated executive, managing a broad range of complex and confidential responsibilities. Develop and maintain a proactive, highly responsive partnership with the executive and key stakeholders to support daily business activities and organizational priorities. Operate independently under general direction, exercising sound judgment and discretion in handling sensitive information, ensuring strict confidentiality of executive communications, strategic plans, and company initiatives. Anticipate needs, streamline administrative processes, and effectively manage priorities to enable executive focus on critical business objectives. Relieve the executive of routine and complex administrative tasks while making informed decisions within established authority to ensure seamless operations.

Requirements

  • High school graduate or GED equivalent education.
  • Five (5) or more years of diversified thorough experience gained from work in various areas within the organization or similar administrative experience.
  • Must be computer/PC competent and have experience in utilizing general administrative office procedures and practices.

Responsibilities

  • Serve as a trusted administrative partner, maintaining a strong understanding of company policies, priorities, and operating practices to make informed, independent decisions.
  • Coordinate executive communications and follow-through, ensuring timely relay of messages, tracking action items, and proactively managing outstanding requests, deliverables, and approvals.
  • Act as the first point of contact for internal and external stakeholders, professionally managing calls, correspondence, and visitors while routing inquiries efficiently and providing accurate information when appropriate.
  • Prepare and refine executive-level communications and materials, including reports, presentations, and correspondence; ensure accuracy, consistency, and organization of all documentation while maintaining effective filing and retrieval systems.
  • Own complex calendar management and scheduling logistics, prioritizing competing demands, anticipating conflicts, and optimizing executive time across meetings, business needs, and strategic initiatives.
  • Plan and coordinate end-to-end travel arrangements, including itineraries, accommodations, and logistics, ensuring a seamless and efficient experience aligned with business needs.
  • Support and execute culture-building initiatives and business unit events, helping plan team activities, offsites, and engagement efforts that enhance employee experience and organizational culture.
