This position provides comprehensive administrative support to the SVP, Chief Insurance Counsel; the Subsidiary Corporate Governance team led by an Associate General Counsel; and other OGC attorneys and paralegals. The role also partners with administrative professionals to ensure seamless departmental coverage. The successful candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. The role requires sound judgment, the ability to anticipate needs, agility as priorities shift, strong verbal and written communication skills, effective collaboration with administrative colleagues and company partners, and professionalism in handling sensitive and confidential information.

Requirements

  • Minimum of 5 years of administrative experience supporting senior leaders, legal professionals, or executives in a corporate, legal, or professional services environment.
  • Exceptional organizational skills and attention to detail.
  • Ability to manage multiple priorities, adapt to changing demands, and work effectively in a fast-paced environment.
  • Proficiency in Microsoft Office and departmental technology platforms.
  • Strong interpersonal, verbal, and written communication skills.
  • Proven discretion and confidentiality when handling sensitive information.
  • Strong judgment, initiative, problem-solving skills, and ability to anticipate needs and prioritize competing requests.
  • Familiarity with AI-enabled tools and emerging technologies that enhance productivity, efficiency, and collaboration.

Nice To Haves

  • Experience with document management systems, such as SharePoint or iManage, and BoardVantage helpful.
  • Bachelor's degree preferred.

Responsibilities

  • Manage complex, frequently changing calendars for the SVP, Chief Insurance Counsel, including prioritizing demands and proactively resolving scheduling conflicts.
  • Coordinate heavy board meeting schedules and logistics with attorneys, senior leaders, business partners, internal resources, and external stakeholders.
  • Prepare, edit, format, and distribute correspondence, presentations, reports, meeting materials, resolutions, and other documents.
  • Track action items, deadlines, and follow-ups to support timely completion of assignments.
  • Arrange travel and prepare related expense reports for multiple people.
  • Provide administrative support to assigned attorneys and paralegals, and partner with administrative professionals to provide backup coverage and continuity across the department.
  • Coordinate conference rooms, virtual meetings, catering, and related logistics.
  • Maintain organized electronic and physical files.
  • Assist with expenses, invoice administration, and departmental initiatives as assigned.
  • Identify opportunities to improve workflows and administrative efficiency.
