About The Position

Blueprint is seeking an Executive Administrative Assistant to support senior leaders in a global enterprise sales organization. This role is crucial for maintaining the operational efficiency of a virtual, worldwide team within a high-level technology environment. The position offers the opportunity to engage with senior executives, influence business administration across various platforms, and contribute to the success of key projects through smooth calendaring, travel arrangements, and expense management.

Requirements

  • 4-5 years of experience in administrative or executive administrative roles, with a strong focus on calendar management, business administration, travel coordination, and expense reporting.
  • Previous experience supporting senior executives, preferably within Microsoft or similar enterprise-level organizations at the C-Suite level.
  • Extensive experience with Microsoft internal tools and software, including proficiency in Microsoft Word, Excel (V-lookups, pivot tables), and PowerPoint.
  • High school diploma or GED required.
  • Exceptional verbal and written communication skills, with a strong ability to interact with senior leadership and stakeholders.
  • Strong organizational and multitasking abilities, with an emphasis on thoroughness and attention to detail.
  • Proactive approach to problem-solving and the ability to work independently, managing time effectively to meet deadlines.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Experience in event planning and coordination, with the ability to assist in organizing off-site meetings and morale events.

Responsibilities

  • Fully manage the calendars of senior leaders, ensuring consistency and alignment with organizational priorities and handling complex scheduling across different time zones.
  • Prepare, submit, and manage expense reports for senior leadership, ensuring accuracy and timely submissions, and reviewing and approving invoices, financial statements, and other financial documents.
  • Arrange domestic and international travel for senior executives, including flight bookings, accommodations, and ground transportation, assisting with visa processes as required and adapting to changes in travel plans.
  • Provide high-level administrative support, including managing records, ordering supplies, and performing basic bookkeeping tasks.
  • Handle incoming memos, submissions, and reports, determining their significance and planning their distribution.
  • Prepare agendas and make arrangements for meetings, including setting up conference calls and video conferences.
  • Assist in planning and coordinating off-site events and meetings for managers, including catering and logistics.
