About The Position

Covia is looking for a dynamic Executive Administrative Assistant to join its Independence, OH location. This role will provide high-level administrative and operational support to the Executive Team, including the Chief Operations Officer, Chief Legal and Administrative Officer, Chief Information Officer, their teams, and other Executives as needed. The position requires exceptional professionalism, discretion, organizational skills, and the ability to manage sensitive and confidential information. The ideal candidate is proactive, detail-oriented, highly responsive, curious, technology-embracing, appropriately ambitious, and capable of managing competing priorities.

Requirements

  • Strong organizational skills and ability to prioritize multiple tasks seamlessly with strong attention to detail
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and ability to learn other software tools
  • Demonstrated ability to design and edit high quality presentations and materials
  • Very strong interpersonal skills and the ability to build relationships with key stakeholders
  • Strong project management skills
  • Strong verbal and written communication skills
  • Exceptional organizational skills and impeccable attention to detail
  • Excellent judgment is essential
  • Ability to pivot and adjust to changing priorities
  • Willingness to provide occasional after-hours support for urgent business matters or executive scheduling (meeting and travel) needs.

Responsibilities

  • Provide comprehensive administrative support to the Executive Team including calendar management, meeting coordination, travel arrangements and complete related expense reports
  • Coordinate and provide logistical support for leadership meetings, regional meetings and Board of Director related activities
  • Prioritize and manage complex schedule needs across multiple internal and external stakeholders
  • Prepare, edit, proofread correspondence, presentations, reports, agendas and other related business documents
  • Assist with legal operations, document management, contract routing and record retention processes
  • Coordinate execution of contracts, legal documents and signature workflows
  • Track deadlines, regulatory filings, litigation matters and compliance related activities as needed
  • Maintain contract databases, legal files, and document management systems
  • Support the budgeting process for each of the Executives
