We are currently seeking an Executive Assistant for our Heavy Civil/Transportation Estimating Department in Chicago, IL. Requirements

  • College degree in business, communications or related field is required
  • Minimum of 5 years of experience in executive assistant role or similar role
  • Ability to maintain discretion at all times
  • Proficient with MS Office Programs (especially Word, Excel, and PowerPoint)
  • Outstanding communication skills, both verbal and written
  • Experience with data entry
  • Experience with expense reporting
  • Experience with planning and executing meetings
  • Ability to take direction and prioritize responsibilities from 3 executive leaders

Responsibilities

  • Maintains calendars for 3 Senior Executives
  • Schedule meetings, conference calls, and video conferences
  • Manage travel arrangements
  • Manage executive expenses, and enter information in software for budgeting control
  • Answer phones and field questions or complaints
  • Anticipate problems and critical issues in scheduling meetings
  • Write correspondence on behalf of the executive staff
  • Handle confidential matters including onboarding, terminations, living allowances, and wage and salary information
  • Provide meeting planning support for annual company meeting (up to 300 employees) including invite lists, correspondence, venue selection, and logistics
  • Use strategic thinking to seek ways to improve and increase the effectiveness of the department and organization as a whole
  • Review resumes for various positions and coordinate interview schedules and travel
  • Create presentations and organization charts
