About The Position

The Administrative and Executive Assistant will provide comprehensive administrative and day‑to-day support to two Senior Executive Service (SES)–equivalent principals within the Defense Advanced Research Projects Agency (DARPA). A core responsibility of this role is independently managing and optimizing both principals’ complex calendars, including fielding scheduling requests, evaluating competing priorities from a wide range of stakeholders, and making informed decisions to ensure each day is effectively structured. The Administrative and Executive Assistant will collaborate closely with teammates, office staff, and external partners to assess shifting needs and balance fast-moving demands. They will be expected to maintain exceptional organization, operate with a high degree of autonomy, and proactively anticipate challenges in an environment where preferences and procedures evolve rapidly.

Requirements

  • An ACTIVE and CURRENT SECRET federal security clearance
  • Associate's Degree
  • THREE (3) or more years of increasingly responsible administrative support experience, including TWO (2) years supporting executive-level management.
  • Experience supporting a U.S. Government client
  • Experience with tracking and scheduling short-term and long-term meetings for leadership, including external and internal meetings
  • Experience with managing administrative tasks, including ensuring packages are signed by leadership in a timely manner and assisting clients with basic IT needs and issues as they arise
  • Ability to work closely with teammates and colleagues to manage invitations and higher-level engagements for office leadership, ensuring they have received the necessary materials to prepare for all upcoming engagements
  • Ability to learn client specific processes for records management and other administrative tasks

Nice To Haves

  • An ACTIVE and MAINTAINED "TOP SECRET/SCI (TS/SCI)" Federal or DoD security clearance
  • Prior senior executive-level support experience, particularly in a DoD or federally funded R&D environment
  • Intermediate to advanced proficiency in Microsoft Office Suite and related tools
  • Ability and desire to learn about program details and expand your skillset in a fast-paced environment

Responsibilities

  • Manage calendars, schedules, and trackers to keep teammates and leadership informed and prepared.
  • Monitor, track, and manage all incoming taskers, action items, and deadlines using established tools.
