About The Position

Responsible for providing high-level, confidential administrative and operational support to executive and senior leaders while serving as the primary liaison between the Board of Directors and SummitStone Health Partners. This position functions as a trusted business partner, exercising independent judgment, discretion, and initiative to manage executive communications, coordinate complex administrative operations, and support governance activities. The Executive Administrative Assistant & Board Liaison ensures timely, accurate, and coordinated communication between leadership, board members, and internal stakeholders while fostering organizational effectiveness, collaboration, and alignment with SummitStone's mission, values, and strategic priorities.

Requirements

  • High school diploma, completion of G.E.D., or equivalent required
  • More than five years of experience in executive-level administrative support required
  • More than two years of experience supporting executive and senior leadership required

Nice To Haves

  • post-secondary coursework in business administration, office administration, or a related field preferred
  • Experience supporting board governance, nonprofit leadership, healthcare leadership, or public-sector governing bodies preferred
  • Equivalent combination of education and experience may be evaluated and considered
  • Bilingual and Bi-cultural
  • Notary Public preferred
  • Valid Colorado driver’s license or the ability to obtain one within 30 days of hire; must maintain a clean driving record. Frequent travel between SummitStone locations and external meetings or events may be required.

Responsibilities

  • Manage complex executive calendars, schedules, meetings, travel arrangements, and events for assigned executive and senior leaders to maximize organizational efficiency and effectiveness.
  • Coordinate executive communications, including email correspondence, phone communications, meeting preparation, and follow-up actions, ensuring timely responses and alignment with organizational priorities.
  • Exercise independent judgment in prioritizing competing demands, resolving administrative issues, and determining appropriate courses of action with minimal supervision.
  • Serve as the primary Board Liaison, facilitating communication between the Board of Directors and SummitStone leadership while ensuring consistency, accuracy, and timeliness of board-related information.
  • Prepare, organize, and distribute board meeting materials, agendas, reports, minutes, resolutions, and governance documentation while maintaining board records and SharePoint resources.
  • Partner with executive leadership, administrative staff, Compliance, Finance, People, Culture, and Learning, Information Technology, Medical, and Operations teams to coordinate board communications, meeting logistics, and organizational priorities.
  • Research, compile, analyze, and prepare executive reports, presentations, correspondence, and other business documents requiring a high degree of professionalism, discretion, and accuracy.
  • Support departmental operations by processing invoices, monitoring budgets, reconciling expenses, maintaining organizational documents, approving timekeeping transactions as assigned, and ensuring administrative processes are completed accurately.
  • Collaborate with administrative professionals and organizational leaders on special projects, strategic initiatives, agency events, process improvements, and cross-functional activities while providing back-up support as needed.
  • Represent assigned executives in meetings, community events, and organizational activities as delegated while communicating professionally and maintaining alignment with organizational objectives.
  • Perform other duties as assigned.
