About The Position

The Executive Assistant is responsible for all office activities. Provides administrative and project support to the President of PACCAR Leasing and Directors, including all communications, screening/responding to inquiries, coordinating meetings, developing administrative procedures, auditing systems, making travel arrangements, answering phones, and other administrative and project duties as assigned. Reports to the President of PACCAR Leasing.

Requirements

  • Associate degree required.
  • 2+ years of work experience required.
  • Proficiency in Word, Excel, Visio, SharePoint, and Outlook.
  • Strong PowerPoint skills.
  • Excellent PC skills.
  • Demonstrated ability to work with confidential information.
  • Ability to interact with all levels of the organization including senior management.
  • High school diploma or GED required.

  • 3-5 administrative experience preferred.
  • Highly organized and effective planner.
  • Detail oriented and active communicator.

Responsibilities

  • Oversee daily office operations to ensure an organized, efficient, and professional work environment.
  • Assist leadership with confidential correspondence, reporting, and special operational projects.
  • Develop and maintain administrative procedures and best practices to improve operational efficiency.
  • Work with senior leaders to manage tasks, distribute reports, and maximize efficiency.
  • Create and edit senior management presentations utilizing PowerPoint and AI.
  • Perform audits for corporate credit cards, supplies, and phones.
  • Collaborate with division employees, corporate team, and other executive support team members.
  • Serve as the primary point of contact for floor management, security, and office-related inquiries.
  • Coordinate frequent travel arrangements both domestic and international and submit expense reports.
  • Support records management and ensure proper organization of office documentation and shared resources.
  • Plan and coordinate employee engagement activities, team events, and office celebrations.
  • Coordinate onboarding logistics for new hires, including workspace setup, supplies, badges, and equipment requests with hiring manager.
  • Partner with HR, IT, and Finance teams to support operational processes and employee needs.
  • Complete at least one process improvement project per year utilizing Six Sigma methodology and tools.
  • Answer phones and distribute mail.
  • Manage office/cubicle floor plan process.
  • Schedule onsite and offsite meetings.
  • Maintain distribution lists, SharePoint sites, and files.
  • Perform other administrative duties and projects as assigned by President.
