About The Position

We design, install, and maintain advanced electrical systems. Our expertise spans traditional electrical contracting, security solutions, audio-visual integration, wireless networking, and building management systems. We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support the Group President for all Florida operations. This role is critical to ensuring efficient day-to-day executive support, seamless scheduling, and well-prepared meetings. The ideal candidate is a strong communicator who can anticipate needs, manage competing priorities, and handle confidential information with discretion.

Requirements

  • Proven experience as an administrative assistant or executive support role, preferably supporting senior leadership
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication abilities
  • High attention to detail and accuracy
  • Ability to manage multiple priorities in a fast-paced environment
  • Professional demeanor with the ability to interact effectively at all levels of the organization
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
  • Ability to work independently, anticipate needs, and exercise sound judgment
  • High school diploma
  • Ability to maintain a high level of trust and confidentiality with sensitive items
  • Positive attitude and the ability to work with and learn from others
  • Effectively communicate with both internal and external customers
  • Agility in computer software

  • Experience supporting executives with multi-location or regional operations
  • Familiarity with meeting coordination, travel planning, and executive-level correspondence

Responsibilities

  • Manage and coordinate the Group President’s calendar, including scheduling internal and external meetings across multiple Florida locations
  • Organize and prioritize daily schedules to ensure optimal use of executive time
  • Prepare, compile, and distribute documents, reports, presentations, and agendas in advance of meetings
  • Attend meetings as requested to take notes, capture action items, and distribute follow-up summaries
  • Coordinate travel arrangements, including flights, lodging, transportation, and itineraries
  • Serve as a point of contact between the Group President and internal teams, leadership, and external partners
  • Assist with organizing leadership meetings, site visits, and special events.
  • Maintain accurate records, files, and correspondence in an organized and accessible manner
  • Handle confidential and sensitive information with professionalism and discretion
  • Provide general administrative support and assist with special projects as needed
