Become a part of our caring community We are seeking a highly experienced and adaptable Executive Assistant to support our Insurance President in a dynamic, fast-paced environment characterized by frequent change, competing priorities, and time-sensitive decisions and high external visibility. This role is pivotal in ensuring the President's time, relationships, and priorities are managed with precision and discretion, serving as a force multiplier by anticipating needs and applying real-time judgment as shift occur. The ideal candidate will bring deep experience supporting C-suite executives in large professional services or Fortune 50 organizations and will be based in either Louisville, KY or Nashville, TN. Key Responsibilities The Executive Assistant provides executive-level support for the President, assuming ownership of specialized duties that require independent initiative and judgment. The person will have expertise in administrative functions, record management, travel coordination, handling department purchase orders and invoices, and engaging in highly confidential issues and matters of sensitive nature. Additionally, the individual will independently manage multiple tasks and projects with competing priorities and deadlines. Specifically, this role supports the President across internal and external needs: Manages and dynamically optimizes a complex, high-volume calendar, with responsibility for internal and external scheduling. Manages the flow of incoming communications, including determining proper course of action for incoming requests, e-mails, calls, and correspondence, and directing them to the appropriate person or operational area. Maintains a timely, accurate, and thorough record of internal and external activities. This includes summarization of those activities and identifying all follow-up action items that the President will be responsible for. Coordinates executive travel including flights, ground transportation, accommodations and itineraries, requiring close partnership with the aviation team, transportation and all other areas involved to ensure planning with the highest level of detail and efficiency. Provides real-time support during travel to adapt to changes and maintain continuity of operations. Supports the President with special projects, event planning, operational reporting, and other needed responsibilities. Tracks key stakeholders, engagements, and commitments using CRM tools or internal systems. Manages multiple projects simultaneously, following through on issues in a timely manner. Receives and processes financial and other transactions for internal and external parties.
