About The Position

Nationwide's Technology team is seeking an Executive Admin Assistant to join their Digital & Workplace Experience team. This role will provide support to three Executive Leaders and their teams, requiring a blend of professionalism, tech-savviness, and a friendly demeanor. The position is based in Columbus, Ohio, and operates on a hybrid model, requiring a minimum of 3 days per week in the office, with flexibility for up to 5 days as needed. The role involves performing confidential, detailed, and complex administrative functions, coordinating meetings and travel, and potentially serving as an informal mentor to other administrative assistants.

Requirements

  • Organizational skills with the ability to handle disruptions and reprioritizations.
  • Exceptional interpersonal skills and effective communication.
  • Proficiency with MS Office (Teams, Planner, Outlook, Word, Excel, PowerPoint, etc.).
  • Ability to work independently and as part of a team.
  • High school, vocational or technical business school studies in secretarial science.
  • Typically, six or more years related administrative assistant experience.
  • Knowledge of company policies and organizational structure.
  • Understanding of office practices and procedures.
  • Ability to make decisions and recommend solutions to work processing and office management problems.
  • Strong communication skills to interact with all levels of leaders, associates, and external contacts.
  • Ability to proofread own work and work of others for content and format accuracy.
  • Intermediate mathematical calculation skills.
  • Ability to build effective business relationships.
  • Regularly and consistently demonstrates Nationwide Values.

Nice To Haves

  • Some undergraduate-level coursework beneficial.
  • Administrative professional certification(s) such as Certified Administrative Professional (CAP) or Certified World Class Assistant (CWCA) are a plus.
  • Nationwide experience is highly desirable.

Responsibilities

  • Orchestrate the daily operations for 1VP and 2 AVP's, providing top-notch support.
  • Support the dynamic organization.
  • Ensure smooth operations.
  • Focus on both daily and longer-range calendars for multiple leaders and teams.
  • Manage leader's personal calendar as directed.
  • Coordinate travel plans for leader(s) and team and make mid-trip changes quickly when required.
  • Compile information for reports and presentations.
  • Screen communications for action items and due dates, bringing key items to the leader's attention.
  • Initiate necessary actions, e.g., follow-ups, prioritizations, action required, etc.
  • Draft responses for executive review, implementing their style into all communications.
  • Provide assistance with office procedures or processes that help the team be more productive and efficient.
  • Monitor departmental expenses, process expense reports in a timely manner and monitor expense reports submitted by executive and staff for accurate reporting.
  • Manage budget for meeting planning.
  • Conduct quality checks on invoices/accounts payable.
  • Input travel expense and other expenses for payment; review and pass to office budget coordinator.
  • Keep current on Nationwide procedure changes, Human Resources policy changes, business environment, etc. that impact department level plans.
  • May participate in special projects as assigned.
  • May perform other responsibilities as assigned.
