About The Position

Under the direction of the Arts and Events Administrator, this position implements and participates in specialized events programs. This includes training, scheduling, and supervising assigned full-time, part-time, temporary, seasonal (PTS) staff; and/or volunteers; performing a variety of event logistics and program planning functions; and providing support for assigned program areas. Program areas include, but are not limited to, SENSES Block Party, Celebrate cultural series, City Cinemas, Art Hop, The Cowboy Festival, Concerts in the Park, and Light Up Main Street. This position is required to work various hours, including nights, weekends, and holidays, as needed.

Requirements

  • Bachelor’s degree in Public Administration, Recreation, Communications, Business Administration, or related field
  • Three years of increasingly responsible supervisory experience in the organization and implementation of event planning, production, logistics, and operations
  • Possession of a valid Class C California driver license and a safe driving record
  • Any combination of education and experience that has provided the knowledge, skills, and abilities necessary will be considered
  • Strong supervisory skills with the ability to set clear expectations, train, evaluate, provide feedback, and hold accountable full-time and PTS employees
  • Strong leadership skills with the ability to motivate, coach, mentor, and encourage staff during events and program implementation on a day-to-day basis
  • Strong communication skills with the ability to share important information effectively, tactfully, and positively both verbally and in writing, in one-on-one settings, and when giving formal presentations to groups of any size
  • Strong time management and organizational skills, with the ability to prioritize competing responsibilities, manage multiple projects simultaneously, adapt to changing priorities, meet time-sensitive deadlines, and consistently follow through on assignments
  • Strong problem-solving skills with the ability to work independently and collaboratively; make sound decisions within established guidelines; and analyze complex issues to develop and implement appropriate solutions.
  • Strong fiscal management skills and the ability to perform simple mathematical calculations, maintain and track budgets, and maintain event records and contract payments
  • Strong interpersonal skills and the ability to establish and maintain effective working relationships with internal and external partners
  • Strong customer service skills with the ability to effectively communicate to City staff and the public, including effectively communicating program information and responding to difficult or complex inquiries and requests
  • Strong analytical skills and the ability to evaluate the effectiveness of events and programs, research ideas for new approaches, and develop recommendations for ways to enhance future events and programs
  • Self-motivated and the ability to work evenings, weekends, and holidays
  • Excellent computer skills and the ability to proficiently use programs and systems, such as Microsoft Word, Excel, Canva, etc.
  • Ability to lift, drag, and push files, paper, and equipment weighing 50 pounds or more is also required

Responsibilities

  • Leads various City events and programs, ensures timely completion of tasks, clear communication with internal and external partners and contractors, and analyzes and documents the progress and effectiveness of assigned programs and events
  • Develops, executes, and evaluates programs, events, and seasonal initiatives for the City, including presenting recommendations for program and event improvements
  • Directly supervises full-time and PTS staff to ensure they are completing their assignments; are aligned with the vision of the division, department, and the City; and are demonstrating the City’s philosophy
  • Participates in the hiring, training, motivating, evaluating, and providing feedback for full-time and PTS staff
  • Contributes to organizational strategic planning at the team, division, and department levels, as well as City wide planning efforts, such as the City’s strategic plan
  • Oversees program budgets; monitors expenditures; and makes recommendations for future budget preparations
  • Establishes and maintains positive working relationships with representatives of community organizations, state/local agencies, City management and staff, and the public
  • Assists with event set up and tear down
  • Performs other duties as assigned
