About The Position

Under the direction of the Recreation Superintendent, the Events & Marketing Coordinator coordinates City events, manages Harris Community Center daily operations, supports recreation programs, and leads department marketing and public communications. The position serves as a primary customer service contact for the Parks and Recreation Department; working closely with other City departments, community partners, vendors, media, and volunteers. As the central hub of customer service, this position sets the tone for every interaction and plays a critical role in creating a welcoming, knowledgeable, and responsive experience for the community.

Requirements

  • A High School Diploma or equivalent is required.
  • Knowledge of modern principles and practices of parks, recreation and event planning including recent trends, current literature, and sources of information in this field.
  • Knowledge of cash handling and financial reports.
  • Knowledge of basic computer applications including proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook).
  • Understanding of digital design software (examples: CANVA Pro, Adobe Suite, InDesign, etc.)
  • Competent in software (examples: reservation software, inventory trackers, digital management systems, etc.)
  • Ability to analyze, interpret, summarize and present information and data in an effective manner.
  • Ability to communicate and present clearly and concisely, both orally and in writing.
  • Demonstrate skills in writing, editing, and grammar.
  • Ability to collaborate effectively in a team environment among diverse personalities.
  • Ability to work effectively and efficiently in the absence of close supervision.
  • Ability to be self-motivated and able to work on multiple projects simultaneously.

  • One (1) to two (2) year of experience in event planning and marketing is preferred, but not required.

Responsibilities

  • Serve as the primary front desk and customer service contact for Harris Community Center and the Parks and Recreation Department.
  • Respond to inquiries about facility rentals, recreation programs, special events, seasonal activities, park rentals, and department services by phone, email correspondence, and walk-in contact.
  • Coordinate reservations, room layouts, rental records, payments, deposits, refunds, building access, renter communication, audiovisual needs, and customer support before, during, and after rentals.
  • Oversee the facility for programs, rentals, and City functions, including room setup, teardown, cleaning, restocking, trash removal, supply checks, and basic equipment troubleshooting.
  • Remain available, as assigned, for after-hours rental problems or questions.
  • Assist with exterior facility and grounds maintenance as needed.
  • Plan, coordinate, implement, and evaluate City festivals, special events, and community functions.
  • Coordinate event logistics, including site plans, staffing, volunteers, vendors, contractors, performers, equipment, supplies, signage, permits, safety needs, public notices, and day-of-event operations.
  • Serve as a liaison among Parks and Recreation, City departments, downtown businesses, outside agencies, event organizers, vendors, sponsors, volunteers, and community partners to support safe and successful events.
  • Assist with special event and street closure application review, planning timelines, checklists, on-site operations, customer service, troubleshooting, teardown, and post-event evaluation.
  • Recruit, schedule, train, and oversee volunteers, seasonal and event staff, and part-time staff, as assigned.
  • Work with the Tourism Coordinator, Communications Department, contractors, and City staff to maintain City of Belton brand and marketing standards.
  • Develop, schedule, and maintain content for department social media, website pages, newsletters, event calendars, digital displays, flyers, signage, and printed materials.
  • Monitor department social media channels and respond to or route questions promptly in accordance with City communication procedures.
  • Create marketing plans and promotional materials that increase awareness, attendance, sponsorship, volunteerism, and community engagement.
  • Coordinate with the City Public Information Officer to notify print, radio, digital, and television media of upcoming events, programs, closures, and community notices.
  • Gather photos, attendance data, marketing metrics, testimonials, and program outcomes for reports, promotions, and future planning.
  • Maintain the department calendar, including event deadlines, facility reservations, program dates, meetings, staffing needs, and conflicts involving spaces, equipment, or resources.
  • Track expenses, revenue, rentals, deposits, refunds, invoices, receipts, sponsorships, quotes, purchase orders, and financial records as assigned.
  • Complete monthly reconciliation of department revenue and assist with accurate recordkeeping in accordance with City procedures.
  • Prepare, proofread, and edit reports, forms, signage, applications, promotional materials, agendas, letters, public notices, and other department documents.
  • Maintain digital and paper files for rentals, events, programs, vendors, marketing materials, volunteers, and facility operations.
  • Support recreation programs, outdoor recreation, kayaking, classes, and department-wide initiatives as needed.
  • Assist customers with park rentals, athletic field rentals, facility reservations, and general park information, and coordinate with the Parks Division on field use, maintenance needs, user groups, associations, and administrative support as time allows.
  • Communicates effectively with the parks maintenance division and assist as needed with volunteer coordination.
  • Perform other related duties as assigned.
