About The Position

We create memorable experiences that drive pipeline and strengthen brand presence — across trade shows, partner activations, owned events, VIP dinners, webinars, and more. The calendar is growing fast and so is the ambition behind it. Vibe is rapidly scaling its events strategy across every format - and the quality of execution is what makes or breaks the pipeline we build in the room. Requirements

  • 3-5 years of experience in event or experiential marketing, or a related role
  • Highly organized, with the ability to juggle multiple events simultaneously under tight deadlines
  • Strong vendor negotiation and budget management skills
  • Excellent cross-functional communication - comfortable working with Sales, Enablement, Marketing, and Design teams
  • Comfortable building process in a fast-moving environment - you improve the playbook from event to event and apply learnings directly
  • Willingness to travel and work flexible hours around event schedules

Nice To Haves

  • Previous experience trade shows, dinners, webinars — with real hands-on ownership is a plus
  • Experience with event management tools (e.g., Splash, Eventbrite, Cvent) is a plus

Responsibilities

  • Event Planning & Execution
  • Manage and execute events (logistics, cross-team collaboration, budget management, communication), from kick-off to post-event wrap-up
  • Produce conferences, executive dinners, webinars, and trade show appearances throughout the year
  • Build and maintain detailed event timelines, run-of-show documents, and contingency plans
  • Trade Shows & Vendor Management
  • Manage all exhibitor requirements and deadlines, oversee booth design, fabrication, shipping, and installation
  • Track and manage all trade show assets, materials, and equipment across events
  • Identify, onboard, and manage external vendors, agencies, and freelancers across all event types
  • Negotiate contracts and pricing with suppliers to maximize value without compromising quality and relationships
  • Creative & Brand Collateral
  • Brief and coordinate with internal teams to produce event collateral (flyers, signage, presentations)
  • Manage branded merchandise production — including apparel such as T-shirts — from design to delivery
  • Ensure all visual assets are on-brand, proofread, and delivered ahead of production deadlines
  • Consolidate feedback across stakeholders and drive collateral revisions to final approval
  • Budget, Operations & ROI
  • Own the budget on event level, track spending in real time, and flag variances proactively to leadership
  • Perform against and report on clear success metrics tied to business outcomes (attendance, pipeline, impact, ROI, ,...)
  • Ensure every experience ladders to a clear narrative, audience strategy, and intended outcome
