About The Position

We are seeking an Event Coordinator responsible for the development, management, and execution of field, regional, and national events, including live and virtual formats. This role is highly cross-functional, collaborating with the marketing function and the broader Sales Team. The Event Coordinator will guide the global Sales Team in managing events to enhance relationships with Telarus Agents, drive partner engagement, and maintain high standards of quality, efficiency, repeatability, and budget management.

Requirements

  • 2+ years of experience in the event management space.
  • 1+ years B2B experience, with preference given to Channel business or Enterprise & SMB focused B2B software/services experience.
  • Demonstrated ability to manage business and expense ROI on a full event program, including sponsor recruitment and MDF management.
  • Proven collaboration with a Sales Team to achieve results, building deep relationships as a trusted partner in full event management.
  • Excellent written and oral communication skills.
  • Passion for Event Management.

Responsibilities

  • Source and procure venues, speakers, hotels, networking, food & beverage, and other needed event items.
  • Coordinate site inspections as needed.
  • Manage and negotiate contracts for all vendors (Hotel, Meeting Space, Food & Beverage, AV, Music/Speakers, Transportation Services, Excursions, Sport Facilities, etc.) in collaboration with management.
  • Create and manage virtual event registration processes using tools like Zoom and RingCentral.
  • Create and manage onsite event registration processes using Cvent.
  • Work with the Sales Team to secure invitee lists and manage weekly registration reports.
  • Work with the Marketing Sponsorship Coordinator to identify, invoice, and register Supplier Sponsors.
  • Create, communicate, manage, and reconcile event budgets.
  • Work with the Marketing Sponsorship Coordinator to build sponsorship documentation.
  • Obtain Purchase Orders from Finance for vendor payments.
  • Submit all event-related invoices to Accounts Payable.
  • Contribute to Marketing's yearly OKRs related to budget management, including building budgets with justification and validated assumptions to explain marketing plans, impact, and ROI.
  • Work with the Event Contractor for the creation of all event graphics for Cvent registration, social media, signage, workbooks, PowerPoints, and other graphic needs.
  • Work with a trusted vendor for printing and shipping of all event materials.
  • Engage management for event budget review and approval.
  • Collaborate with Marketing, the Marketing Sponsorship Coordinator, and the Sales Team to identify and secure event sponsorship.
  • Attend and execute events on-site, requiring travel.
