About The Position

We are seeking an Event Coordinator responsible for the development, management, and execution of field, regional, and national events, including live and virtual formats. This role is highly cross-functional, collaborating with the marketing function and the broader Sales Team. The Event Coordinator will guide the global Sales Team in managing multiple events to enhance relationships with Telarus Agents, generate partner engagement, and maintain high standards of quality, efficiency, repeatability, and budget management.

Requirements

  • 2+ years of experience in the event management space.
  • 1+ years B2B experience, with preference for Channel business or Enterprise & SMB focused B2B software/services experience.
  • Demonstrated ability to manage business and expense ROI on a full event program, including sponsor recruitment and MDF management.
  • Proven collaboration with a Sales Team to achieve results, building deep relationships as a trusted partner in full event management.
  • Excellent written and oral communication skills.
  • Passionate about Event Management.

Nice To Haves

  • Experience with the channel and with an IT-focused end-user buyer is a plus.
  • Ability to embrace change as the role evolves.
  • Experience with Cvent, Monday.com, SalesForce, or Marketo is a plus.

Responsibilities

  • Source and procure venues, speakers, hotels, networking opportunities, food & beverage, and other necessary event items.
  • Coordinate site inspections as needed.
  • Manage and negotiate contracts for all event vendors in collaboration with management, including hotels, meeting spaces, food & beverage, AV, music/speakers, transportation services, excursions, and sport facilities.
  • Create and manage virtual event registration processes using tools like Zoom and RingCentral.
  • Create and manage onsite event registration processes using Cvent.
  • Work with the Sales Team to secure invitee lists and manage weekly registration reports.
  • Collaborate with the Marketing Sponsorship Coordinator to identify, invoice, and register Supplier Sponsors for events.
  • Create event budgets, communicate budget details, manage event expenses, and reconcile budgets post-event.
  • Work with the Marketing Sponsorship Coordinator to develop sponsorship documentation.
  • Obtain Purchase Orders from Finance for vendor payments.
  • Submit all event-related invoices to Accounts Payable in Finance.
  • Assist Marketing in achieving yearly OKRs related to budget management.
  • Build budgets with justifications and validated assumptions to explain marketing plans, impact, and ROI.
  • Coordinate with the Event Contractor for the creation of all event graphics for Cvent registration.
  • Collaborate with the Event Contractor for the creation of social media graphics, signage, workbooks, PowerPoints, and any other required graphic needs.
  • Work with a trusted vendor for printing and shipping of all event materials.
  • Engage management for event budget review and approval.
  • Collaborate with Marketing, the Marketing Sponsorship Coordinator, and the Sales Team to identify and secure event sponsorships.
  • Attend and execute events on-site as required, potentially involving one week or more of travel per month.
  • Perform other duties as assigned.
