About The Position

The Events Coordinator is responsible for providing administrative, logistical, and on-site support to the Director of Internal Events in the planning and execution of churchwide and staff engagement events. This role manages day-to-day tasks such as budget reconciliation, vendor procurement, scheduling, and contract administration, while also assisting with rehearsals, run-of-show preparation, and event execution for major Sundays and annual celebrations. The coordinator plays a key part in enhancing weekly guest experiences, supporting new churchwide guest experience/hospitality initiatives, and helping the department support the Office of the Senior Pastor to deliver staff retreats and appreciation events. By strengthening operational systems and reducing administrative load, this position expands the department’s capacity to create meaningful, excellent experiences and to grow our capacity for new events, such as Pastor Battle’s longstanding vision for a Zion Church-hosted Leadership Conference.

Requirements

  • Bachelor’s degree in Event Management, Hospitality, Communications, or related field preferred, or equivalent combination of education and experience.
  • Minimum of 2–3 years of experience in event coordination, project management, or related administrative support role, preferably in a nonprofit environment
  • Demonstrated ability to plan and execute events of varying scale with attention to detail and excellence.
  • Strong organizational and time-management skills with the ability to manage multiple priorities and meet deadlines.
  • Flexible and adaptable to shifting priorities in a fast-paced environment.
  • Ability to work independently and exercise good judgment while also functioning as part of a team.
  • Creative problem solver with a proactive mindset.
  • Willingness to work evenings, weekends, and holidays as required for major events

Responsibilities

  • Support the Director of Internal Events in planning, coordinating, and executing major global events such as Easter, Mother’s Day, Father’s Day, New Year’s Eve, the Zion Church Anniversary, and the Annual Volunteer Gala.
  • Contribute to the development and execution of rehearsals, run-of-show documents, volunteer training and coordination, and logistics for large-scale and special Sunday events. This includes proficiency in Planning Center
  • Provide administrative support to the Internal Events Department, including managing calendars, scheduling meetings, preparing event budgets, submitting expense reports, and managing post-event reconciliation.
  • Partner with cross-functional teams to enhance the Sunday guest experience on each campus, helping to execute on any new hospitality and guest care initiatives aligned with recently established Ritz-Carlton training outcomes.
  • Provide coordination and logistical support to the Office of the Senior Pastor for internal staff engagement events such as staff retreats, pastor appreciation events, and staff appreciation gatherings.
  • Assist with procurement and vendor management by drafting requests for proposals from prospective vendors, coordinating with Procurement, tracking deliverables, contract administration, and maintaining updated vendor lists
  • Prepare post-event recaps, track outcomes, and assist with continuous improvement by capturing lessons learned and providing feedback to enhance future events.
  • Maintain accurate records of guest attendance, event impact, and outcomes
  • Perform other related duties as assigned, in alignment with the overall goals of the Internal Events Department and the mission of Zion Church.
