About The Position

The Rural Health Redesign Center (RHRC) is seeking an Events Coordinator to support the organization’s event functions through detailed coordination, event system management, and execution of in-person, virtual, and hybrid events. This role carries primary responsibility for event logistics and operations in collaboration with the Marketing and Events Manager and ensures accurate implementation of all event details. The RHRC is dedicated to preserving and enhancing access to care in rural areas by helping rural providers strengthen competencies and transform healthcare delivery through innovative, financially viable solutions. Requirements

  • Bachelor’s degree or equivalent experience in event coordination, hospitality or related field.
  • One to three years of relevant professional experience.
  • Demonstrated high attention to detail and strong organizational skills.
  • Ability to execute duties independently using established guidance.
  • Strong written and verbal communication skills.
  • Proven ability to manage multiple projects in a dynamic, fast-paced environment.
  • Demonstrated ability to coordinate complex logistics and manage multiple events simultaneously, including in-person, virtual, and hybrid formats.
  • Strong interpersonal skills and the ability to work collaboratively with clients, consultants and team members.
  • Experience working with event technology platforms or registration systems (e.g., Cvent or similar tools).
  • Ability to manage event-related data with a high degree of accuracy and attention to detail.
  • Ability to store, organize, and manage event materials and coordinate shipment and tracking as needed.
  • Fluent in Microsoft 365, including familiarity with commonly used apps and strong PowerPoint support skills.
  • Demonstrated ability to contribute to a positive work culture.
  • Must have reliable internet and experience working remotely.
  • Willingness and ability to travel frequently and publicly represent the RHRC with professionalism.

Nice To Haves

  • Hands-on experience building and managing events in Cvent, including registration, reporting, and communications.
  • Familiarity with platforms such as Monday.com or similar project tracking tools.
  • Basic understanding of ADA and accessibility considerations as they relate to event planning, attendee experience, and accommodations.
  • Familiarity with rural health dynamics and/or experience in the non-profit sector.

Responsibilities

  • Serve as primary onsite operational contact for assigned events.
  • Coordinate event logistics including registration, materials, vendors, catering, and attendee needs.
  • Manage on-site registration, badge printing, and check-in processes.
  • Ensure proper setup and use of event equipment, including Zebra printers and related materials.
  • Set up and maintain event branding materials, including unpacking, assembly, and presentation to ensure a polished and professional appearance aligned with RHRC standards.
  • Support virtual and hybrid event logistics including agenda and presentation coordination, registration and management, and distribution of recordings (as applicable).
  • Maintain venue information, including points of contact, logistical details, and historical references for future planning.
  • Build and manage event registration, including setup, confirmations, and reporting.
  • Support event communications as directed.
  • Troubleshoot registration and system-related issues before and during events.
  • Serve as operational backup for event systems and processes.
  • Coordinate with internal programs to support event-related needs and priorities.
  • Ensure event workflows align with program deliverables and expectations.
  • Coordinate with vendors and external partners to fulfill event requirements.
  • Assist with post-event wrap-up, documentation and internal debriefs.
  • Coordinate RHRC participation in industry-relevant events, including researching new opportunities, managing registrations, tracking deadlines, and supporting logistics.
  • Prepare and submit speaker proposals, session materials, and required documentation as directed.
  • Coordinate staff attendance, schedules, and materials for conferences, partner events, and external engagements.
  • Maintain and update event SOPs, job aids, and process documentation.
  • Organize event materials, templates, and records for reuse.
  • Document event execution details and support knowledge transfer for future events.
  • Performs other duties as may be assigned.
