About The Position

The Events and Outreach VISTA will increase organizational capacity by developing sustainable systems and processes that strengthen community outreach, event engagement, and the identification of strategic opportunities for organizational growth and community impact. The VISTA will support the planning, coordination, and execution of TSF events and community engagement activities across departments, including programmatic events, community outreach and tabling opportunities, fundraising events, and other community-driven opportunities. The VISTA will strengthen organizational infrastructure by developing standardized planning tools, timelines, communication processes, outreach systems, and event resources that enable staff to anticipate needs, coordinate effectively, and provide responsive support. Through these efforts, the VISTA will help TSF strengthen its ability to identify and engage with community opportunities, increase awareness and participation in its programs and events, and build organizational systems that can be sustained beyond the VISTA’s service term.

Requirements

  • Complete AmeriCorps VISTA orientation and organizational onboarding.
  • Learn TSF's mission, organizational structure, core programs, departments, and major annual events.
  • Review sustainability materials and event-planning resources created by previous VISTAs and staff.
  • Review TSF's anticipated event calendar and categorize upcoming events.
  • Meet with staff members and department leads responsible for major events.
  • Attend and observe TSF events, activations, tabling opportunities, and community engagements.
  • Assess the types of events and community activations TSF currently hosts or participates in.
  • Conduct outreach and engage with community partners and event organizers.
  • Assess current event commitments and organizational capacity.
  • Maintain a centralized resource of current and potential event opportunities.
  • Identify internal and external professional development opportunities.
  • Review feedback and observations from staff and event leads.
  • Work with Development, Marketing & Communications, Programming, Workforce Development, and other relevant departments.
  • Develop recommendations for improving communication and coordination between departments.
  • Propose standardized event planning timelines, checklists, communication tools, and preparation documents.
  • Propose improvements to systems for tracking event resources.
  • Develop a process for identifying event responsibilities and priorities in advance.
  • Develop recommendations for potential new outreach and activation opportunities.
  • Work with event leads and relevant departments to pilot the planning tools.
  • Support event-day activities as assigned.
  • Develop systems for identifying event responsibilities and priorities in advance.
  • Establish regular communication practices with supervisors and event leads.
  • Document event processes, challenges, and lessons learned.
  • Create training and reference materials.
  • Refine event planning timelines, checklists, communication tools, and preparation documents.
  • Continue maintaining and improving the forward-looking event calendar and planning tracker.
  • Document event planning processes, challenges, lessons learned, and promising practices.
  • Develop recommendations for improving event responsiveness, advance planning, cross-department communication, resource coordination, and event activation.
  • Compile event planning tools and resources into a centralized event planning toolkit.
  • Create training and quick-reference materials.
  • Complete a final assessment of the tools and processes developed during the service year.
