About The Position

The Events and Marketing Coordinator will be responsible for coordinating all event marketing efforts, overseeing and executing marketing plans for each event, and building relationships with community partners for event exposure. This role involves creating and updating online event registration pages, managing program logistics including sponsors, speakers, and honorees, and overseeing event collateral design. The coordinator will also assist in event execution, participate in long-term event planning, and provide administrative assistance. This position requires strong communication and teamwork skills, participation in training, and readiness to assist with other tasks as needed.

Requirements

  • Able to demonstrate a proficiency for news writing.
  • Express and demonstrate interest in business journalism as a potential career choice.
  • Proficient using MS Office products (i.e.; Word, Excel, Outlook, etc.).
  • Proficient using communication platforms (i.e.; Teams, Webex, Zoom, etc.).

Responsibilities

  • Coordinate all event marketing, including social media, e-marketing, print, and web.
  • Oversee and execute marketing plans for each event in collaboration with the Event Director and BDD.
  • Identify and build relationships with community partners for event exposure and marketing.
  • Build out online event registration pages using the company system.
  • Create and update event registration pages, working directly with the Event Director.
  • Ensure real-time updates for new sponsorships and event speakers.
  • Oversee program logistics for sponsors, speakers, and honorees.
  • Assist Events Director in regular communication with honorees.
  • Assist in coordinating speaker logistics.
  • Complete event sponsorship schedules for all sponsors.
  • Coordinate the registration of honorees, speakers, and sponsors.
  • Manage event collateral design with the Business Design Desk for cohesive branding and onsite asset creation.
  • Brainstorm with Events Director on overall event execution.
  • Manage day-of event registration.
  • Assist in all aspects of event preparation, including name badges, signage, publications, décor, sponsor materials, framed material, awards, and step and repeat.
  • Assist with event load in, set-up, and load out.
  • Participate in the long-term planning of events with the Events Director.
  • Assist in the strategic planning of events, including new events and improving existing ones.
  • Assist in the overall design and theme implementation of events.
  • Maintain shared filing of event trackers, communications, and planning documents.
  • Produce individual event recaps for clients.
  • Produce general recaps of events for other sponsor levels.
  • Assist in proofing of event materials.
  • Assist the Events Director with planning and logistics as necessary.
  • Update sponsor, honoree, and speaker trackers regularly.
  • Assist in the collection of materials for programs.
  • Keep Events Director aware of workflow and status of scheduled work.
  • Work collaboratively and cooperatively with members of all other departments.
  • Share organizational tools and plans for keeping on schedule.
  • Participate in Business Unit-sponsored events promoting the paper.
  • Participate in all training offered by ACBJ and Buffalo Business First when applicable.
  • Assist with any other task requested by the Events Director.
