About The Position

Four Seasons Hotel Minneapolis seeks an Event and Group Services Coordinator to join their talented team. This role provides administrative support to the Event Sales and Conference Services Managers and Director, while also being familiar with all aspects of the catering planning process. The coordinator will assist in organizing social events, act as a liaison with hotel departments for internal meetings, and oversee the seamless execution of small conferences, rooms-only group blocks, and select entertainment groups. This involves coordinating logistics and ensuring client needs are met. The role requires collaboration with various departments to arrange meeting spaces, audiovisual equipment, and F&B services, providing exceptional customer service throughout the event planning process. Additionally, the coordinator will maintain detailed records, contribute to the success of smaller events, and periodically assist with front-of-house operations such as greeting guests, managing hospitality desks, and assisting with banquet setups or teardowns. Responsibilities also include maintaining an inventory of department supplies and printed materials, assisting clients in the absence of management, and creating purchasing orders. The role requires compliance with Four Seasons standards for sales and marketing, and adherence to conduct policies.

Responsibilities

  • Assist in the organization of social events and act as a liaison with the Hotel’s Department and Division Heads in planning internal Four Seasons Meetings.
  • Responsible for overseeing the seamless execution of small conferences/rooms-only group blocks, and select Entertainment groups within the hotel, coordinating logistics, and ensuring all client needs are met.
  • Collaborate with all departments to arrange meeting spaces, audiovisual equipment, F&B services, and provide exceptional customer service to clients throughout the event planning process.
  • Providing personalized support to clients, maintaining detailed records, and contributing to the success of smaller events through efficient and attentive service.
  • Periodically assist with front of house operations including greeting and directing guests, manning hospitality desks, and working with Banquets on ‘quick sets’ or teardowns.
  • Maintain an inventory of all standard department supplies and printed materials, including but not limited to Catering Corporate and wedding packets, special menu cards and velum.
  • In the absence of a Catering or Conference Services Management, assist clients and seek out solutions to requests in a friendly, caring and helpful manner.
  • Create purchasing orders for the department.
  • Comply with Four Seasons standards for sales and marketing, while working harmoniously and professionally with co-workers and Planning Committee.
  • Comply with Four Seasons Category One and Two Work Rules and Standards of Conduct as set forth in EmPact.
