About The Position

The Event Services Coordinator will be responsible for managing assigned leads through the sales and planning process, with a strong emphasis on client experience. This role involves assisting with internal leads, co-producing institutional events, and planning events during peak periods. The coordinator will also handle event-related invoicing, maintain financial records, and act as a liaison with clients and vendors to ensure successful event execution. Additionally, the position involves identifying and pursuing revenue opportunities, generating event contracts, and collaborating with the events team to develop new hosting concepts. Support for signature events, including seasonal institutional events, is also a key responsibility.

Requirements

  • 2 years of customer service experience.
  • 2 years of event planning experience.

Responsibilities

  • Coordinate daily tasks and event operations.
  • Manage client relationships for assigned events.
  • Cultivate assigned leads through the sales and planning process, focusing on client experience.
  • Assist with internal leads and assigned events from the president's office.
  • Co-produce institutional events as assigned.
  • Plan events during peak periods.
  • Generate and manage invoicing for event-related incidents.
  • Provide necessary information for finance-related inquiries.
  • Maintain proper financial recording on assigned events within Tripleseat.
  • Communicate effectively with event contacts and act as a liaison to secure required resources.
  • Represent the organization during client-facing meetings and with external vendors.
  • Oversee day-of event planning and execution for their portfolio or as assigned.
  • Create event itineraries for internal and external communication.
  • Identify and pursue additional revenue opportunities for secured accounts.
  • Assist with high-volume event leads and the sales process.
  • Generate and execute event contracts within their portfolio.
  • Introduce hosting concepts to generate sales and incentives for group, festival, and event-based concepts in collaboration with the events team.
  • Support, plan, and/or execute signature events as dictated by the president's office, including seasonal institutional events in collaboration with the president's office and/or advancement and marketing.
