This position is responsible for planning, developing, and executing a wide range of events that support and enrich the lives of aging adults across the county. This role manages all aspects of county-wide special events such as the Senior Games, SilverArts, Healthy Aging Expo, 6 Over 60 Celebration, Veterans Celebration, and other non-center-specific programs. This position works closely with internal staff, community partners, and volunteers to deliver engaging, accessible, and meaningful experiences for participants. This position also performs intermediate administrative work that supports the overarching mission of helping aging adults remain independent and thrive in their own homes. Work is performed under the general supervision of the Director and requires regular presence at both the Pittsboro Center for Active Living and the Siler City Center for Active Living.

Requirements

  • High school diploma or GED
  • At least two (2) years of experience in event planning and budgeting
  • Knowledge of event planning and program development
  • Thorough understanding of planning, organizing, and implementing events and activities tailored to aging adults, including recreational, educational, and cultural programming
  • Knowledge of Aging Services and familiarity with the physical, emotional, and social needs of aging adults, including best practices for promoting healthy aging and community engagement
  • Ability to speak publicly in front of large groups
  • Ability to create and manage event budgets, track expenses, and ensure responsible use of public or grant funding
  • Strong ability to manage multiple events, deadlines, and priorities simultaneously with attention to detail and accuracy
  • Excellent written and verbal communication skills, with the ability to work effectively with diverse groups, including aging adults, volunteers, staff, vendors, and community partners
  • Ability to identify issues quickly and implement effective solutions in a calm, professional manner
  • Skilled in training, supervising, and motivating staff and volunteers in a collaborative work environment
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Ability to learn event management, scheduling, and registration systems
  • Knowledge of safety and compliance standards
  • Knowledge and understanding of relevant health, safety, and accessibility regulations, including those applicable to public events and aging populations
  • Ability to adjust plans as needed and bring creative ideas to enhance the quality and impact of programs
  • Ability to establish and maintain effective working relationships with county officials, employees, associates, community groups, and the general public
  • Must possess a valid North Carolina driver's license
  • Must be able to work occasional evenings and weekends to meet event needs

Responsibilities

  • Designs, develops, and implements a diverse calendar of on-site and off-site events, including Senior Games, SilverArts, Healthy Aging Expo, 6 Over 60, Veteran's Celebration Event, and more
  • Oversees all logistical aspects of events, including facility scheduling, room setup, food and beverage service coordination, purchasing of event supplies, and equipment needs
  • Prepares, manages, and monitors event budgets; tracks expenses, handles payments, and ensures cost-effective use of resources
  • Creates flyers and other promotional materials for events
  • Works with others to promote events throughout the community
  • Speaks at special events through such tasks as providing welcoming and closing remarks and introducing speakers
  • Serves as the primary liaison with vendors, community organizations, and other stakeholders to secure services and collaborative support for events
  • Ensures event offerings are inclusive and tailored to the diverse interests and abilities of participants, fostering an engaging and supportive community atmosphere
  • Recruits, trains, supervises, and evaluates staff and volunteers who assist with the planning and execution of events and activities
  • Ensures all events comply with federal, state, and local regulations, as well as internal safety and facility guidelines, maintaining a safe environment for all participants
  • Proactively addresses issues or challenges that arise before, during, or after events, making timely decisions to ensure smooth operations and participant satisfaction
  • Performs other duties as assigned
