About The Position

The Event Services Manager is responsible for planning, coordinating, and executing events to ensure a seamless and high-quality experience for clients and attendees. This role oversees logistics, vendor coordination, staff management, and on-site operations, ensuring events are delivered on time, within budget, and aligned with client expectations. Wisp Resort is a four-season ski, golf, and recreational destination resort. Because of the nature of the resort business, employees may be asked to perform other duties outside of the job description. Hours of operation are 24/7 including weekends and holidays.

Requirements

  • Proficiency in event management software and Microsoft Office Suite
  • Exhibit the ability to use MS Windows, MS Office including Excel, Word, Power Point, Access, Publisher, and similar programs, to navigate the internet, and an understand basic Point-of-Sale and Property Management Systems.
  • Associate degree in a related area, or equivalent work experience
  • 3-5+ years of experience in event planning, hospitality, or a related role
  • Basic English
  • Excellent communication and interpersonal abilities
  • Basic math and analytical proficiency
  • DRIVER’S LICENSE, UNRESTRICTED, WITH INSURABLE DRIVING RECORD

Responsibilities

  • Plan, organize, and execute a wide range of events (corporate meetings, conferences, weddings, social events, etc.)
  • Serve as the primary point of contact for clients, understanding their needs and translating them into event plans
  • Coordinate with vendors, venues, and service providers to secure all event requirements
  • Develop and manage event timelines, budgets, and contracts
  • Troubleshoot and resolve any issues that arise before or during events
  • Conduct post-event evaluations and gather client feedback for continuous improvement
  • Prepare accurate Banquet Event Orders, invoices, package breakdowns, rooming lists, wedding questionnaire, wedding timeline, vendors and their needs, and to other group sales needs.
  • Regularly enter data into the sales management database.
  • Actively participate in sales meetings, pre-convention meetings, Banquet Event Order meetings, company and sales department training, and other sales-related meetings.
  • Actively work hands-on with Resort departments to provide quality service to clients.
  • Professionally represent the resort at community, industry, tradeshows and organizational events.
  • Develops/maintains knowledge of market trends, competition and clients.
  • Details all conferences, conventions, functions, weddings, banquets, and recreational activities that utilize meeting and function space.
  • Maintain and control the meeting space inventory.
  • Work in coordination with Facilities Department and Front of House Manager to deliver top-notch conferences, conventions, functions, weddings, banquets, and recreational activities that utilize meeting and function space.
  • Works with the Front of House Manager and Executive Chef to modify an offered menu to accommodate special needs for a one-off or particularly unique function.
  • Provide the Finance Department accurate and timely information and billing.
  • Conducts site tours, entertains and familiarizes clients with resort, and exhibits the ability to speak comfortably with groups. Always maintains a professional appearance.
  • Assist the Director of Sales with reports and competition data collection, sales and marketing plans, and overall support of the functions of the sales team.
  • Works well independently and as a team with sales staff, and with all Resort departments. Exhibits a thorough knowledge of all Resort departments, and the ability to communicate client needs and resolve client concerns.
  • Communicate with clients regarding their specific needs and resolves any client concerns or issues.
  • Up-sell all Wisp activities, including Mountain Park, golf, winter groups, catering.
  • Work in conjunction with the sales team to take each sale from initial contact to fruition.
  • Exhibits strong organizational skills and ability to multi-task under strict time requirements, along with professional communication skills demonstrating confidence and familiarity with Resort products and services.
  • Maintain a strong commitment to organizational goals, values, and guest services standards.
  • Maintain a guest-centric focus and safety awareness.
  • Complies with all Resort policies and procedures to support the safe and effective operation of Resort facilities
