Under the direct supervision of the Events Coordinator, the Event Sales and Services Specialist promotes the Mayo Clinic Event Center for meetings, banquets, weddings and conventions; coordinates and oversees events; and assists the Events Coordinator in booking events and servicing client’s needs while providing exceptional customer service. Requirements

  • One (1) year of demonstrated experience in event services management and/or sales and operations
  • Two (2) years of customer service experience
  • Must possess a valid driver's license and be able to drive in the state of Minnesota
  • High School Diploma or GED equivalency OR Any satisfactory equivalent combination of education, training, and experience that demonstrates the knowledge, skills, and abilities to perform the duties of the job proficiently may be substituted for the above requirements.
  • Must be available to work normal office hours, plus various night, overnight, holiday, and weekend hours.
  • Must successfully complete a background examination.
  • Must possess a current cell phone or home phone number that can be accessed by building management personnel for contact purposes.
  • Must comply with organizational and departmental policies.
  • Must comply with data practices policies and standards relative to not public data. Any access to not public data should be strictly limited to accessing the data that are necessary to fulfill the employment responsibility. While data are being accessed, incumbent should take reasonable measures to ensure the not public data are not accessed by individuals without a work reason. Once the work reason to access the data is reasonably finished the not public data must be properly stored according to city policy and the Minnesota Statutes.

Responsibilities

  • Assists the Events Coordinator with event bookings and fulfillment.
  • Performs event coordination duties: Meeting with clients, Determining needs, Assisting clients with event budgets and catering requirements, Preparing event layouts, Coordinating room setups by effectively communicating across departments.
  • Oversees and assists with events in progress: Resolves operational and procedural problems, Reports and changes in original event requirements and adjusts billings accordingly.
  • Assists with all events both on and off-site.
  • Assists with the hiring, training, and management of part-time Event Facilitators.
  • Assists with scheduling staff according to event needs.
  • Assists the Food and Beverage department with the management of concessions and bar locations including, but not limited to, opening and closing events, managing part-time staff and assisting with food and bar preparation.
  • Accurately closes out financials on events following facility cash management policies.
  • Maintains knowledge of, and follows proper protocol relating to alcohol related procedures and liabilities.
  • Works collaboratively and assists across all event center departments as necessary.
  • Provides exceptional customer service to internal and external customers.
  • Performs physical and mental demands and work environment requirements for this position.
  • Attendance during regularly scheduled work hours and outside regular hours as necessary.
  • Effective and respectful communication and interactions with other employees, supervisors, individuals from other organizations, and community customers.
  • Performs other related work as assigned or apparent.
