The Shelborne By Proper, an iconic Art Deco destination in Miami Beach, is seeking an Event Sales Manager to join their team. This role is responsible for driving event bookings and ensuring flawless execution of events. The Shelborne aims to be a social anchor, blending history with contemporary culture, and its nightlife venues are designed to be magnetic and culturally relevant. Art, fashion, wellness, and music are central to the property's identity and the Event Sales Manager's role.

Requirements

  • 2+ years of experience in event planning, event management, or a similar role, preferably within the hospitality industry.
  • Experience with managing a variety of event types, including corporate meetings, weddings, social events, and large conferences.
  • Familiarity with event management software (e.g., Cvent, Eventbrite) and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organizational skills, with the ability to manage multiple events simultaneously and meet tight deadlines.
  • Excellent communication and interpersonal skills, with the ability to build relationships with clients, vendors, and colleagues.
  • Exceptional attention to detail, ensuring every aspect of the event is planned and executed perfectly.
  • Strong problem-solving abilities, able to handle unexpected issues and find creative solutions on the spot.
  • Ability to work effectively under pressure and in a fast-paced, high-energy environment.
  • Knowledge of budgeting and financial management for events.
  • Ability to work flexible hours, including evenings, weekends, and holidays, depending on event schedules.
  • Ability to stand and walk for extended periods during events.
  • Ability to lift and carry light to moderate items (up to 25 pounds), such as décor, materials, or event supplies.
  • Flexibility to work on evenings, weekends, and holidays as needed, depending on event schedules.
  • Ability to work in a fast-paced, high-energy environment and manage multiple tasks and deadlines simultaneously.

Responsibilities

  • Prospecting, generating leads, and converting event inquiries into confirmed bookings.
  • Acting as the lead point of contact for complex, high-value event opportunities from pitch through conversion.
  • Actively prospecting new accounts while deepening relationships with existing partners.
  • Negotiating with a balance of rigor and creativity to secure value-aligned business.
  • Hosting immersive site visits, familiarization experiences, and client entertainment.
  • Ensuring seamless hand-off to Conference Services and Operations.
  • Maintaining strong relationships with clients and vendors to encourage repeat business and referrals.
  • Managing all event logistics from initial planning through post-event evaluation.
  • Coordinating with clients to understand their event requirements, goals, and preferences, creating customized event plans and timelines.
  • Overseeing the organization of event details, including room setup, catering, audiovisual requirements, decorations, and any special requests.
  • Ensuring all elements of the event are executed on time, including adhering to set schedules, managing timelines, and handling last-minute changes.
  • Serving as the primary point of contact for event clients, maintaining clear and professional communication.
  • Updating clients regularly on event progress, providing guidance, recommendations, and solutions.
  • Proactively anticipating client needs and providing exceptional customer service, resolving issues quickly and professionally.
  • Following up with clients after the event to gather feedback and ensure overall satisfaction.
  • Overseeing the setup and breakdown of events, ensuring all components are ready and functioning as planned.
  • Supervising event staff to ensure smooth event operations.
  • Serving as the on-site point of contact during events, troubleshooting issues and ensuring everything runs according to plan.
  • Ensuring high-quality service delivery, maintaining a professional and attentive atmosphere.
  • Coordinating with external vendors and suppliers to ensure all event requirements are met.
  • Managing vendor relationships, ensuring services are provided according to agreements and timelines.
  • Troubleshooting and resolving vendor-related issues or challenges.
  • Developing and managing event budgets, ensuring costs stay within budget and the event remains profitable.
  • Tracking event expenses and ensuring all billing, invoicing, and payments are accurate and processed on time.
  • Working with internal teams to ensure the event generates appropriate revenue and supports hotel goals.
  • Assisting the sales team with generating leads and converting event inquiries.
  • Identifying upselling opportunities for additional services to increase event revenue.
