About The Position

The Event Coordinator is a key member of the Convention Center team, serving several departments. They are responsible for assigned administrative tasks, assisting the Event Managers, and managing the Exhibitor Services for trade show vendors. This role will pay an hourly rate of $18.00 - $20.00.

Requirements

  • High school diploma or GED.
  • Coursework from an accredited college or university with major coursework in facility management, hospitality management, marketing, public relations, business management, or a related field.
  • 1-2 years of experience in Event Coordination or Convention Services preferably with a convention center, hotel, sports facility, performing arts facility, or other multi-purpose public assembly facility or Meeting Planning.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) is required.
  • Knowledge of operational characteristics of event coordination/management.
  • Strong customer service Skills.
  • Communicate clearly and concisely both orally and in writing.
  • Establish and maintain effective working relationships with staff, contractors, and venue users.
  • Ability to multitask.
  • Ability to work independently and remain flexible in the role.

Nice To Haves

  • Training on Momentus and a CAD program will be provided.

Responsibilities

  • Plan, service, and coordinate events.
  • Troubleshoot problems during events as they arise.
  • Cover the front desk reception position two days a week.
  • Answering phones, greeting clients, processing payments, and assisting the Office Manager.
  • Assist with guest or client questions as needed.
  • Help office staff with filing, organizing, and other tasks as assigned by the Office Manager.
  • Attend weekly staff meetings and production meetings.
  • Perform a weekly audit of event diagrams, schedules, and details (event resumes) and provide feedback to Event Managers.
  • Assist with coordinating all details of the event as planned, including audio-visual, food and beverage services, security, electrical, decorating, etc.
  • Interact with clients and attendees.
  • Work with clients to create event diagrams and event resumes and communicate event needs to convention center staff.
  • Gain working knowledge of Momentus CRM and CAD programs.
  • Coordinate the venue’s Exhibitor Services for all trade show events.
  • Perform other duties as required.
