About The Position

JF Restaurants is a New York City-based hospitality group led by Michelin-starred Chef and Restaurateur John Fraser. The Wall Street Hotel is looking for an Event Coordinator to serve as the organizational backbone of our on-property events program. Working within a hotel-partnership environment where JF Restaurants manages all food and beverage event operations, you’ll own the systems, documentation, and logistical follow-through that hold the program together. The Event Coordinator will have daily, hands-on involvement in every stage of event operations and the fluency that everything above this role depends on. Coordinators who invest seriously here are well-positioned for advancement to Event Operations Manager within two to three years.

Requirements

  • 1–2 years in event coordination, hospitality operations, or a related administrative role — or a strong hospitality management background with meaningful internship or event experience.
  • Organizational precision — someone who builds systems naturally, catches errors early, and never lets a deadline slip without flagging it.
  • Proficiency in or ability to quickly learn Tripleseat or a comparable event management platform.
  • Clear, professional written communication — this role drafts BEOs, client emails, and vendor confirmations that represent JFR externally.
  • A genuine interest in events and hospitality as a career, not a transitional position.
  • NYC Food Protection Certification required.

Responsibilities

  • Maintain Tripleseat as the property’s primary event system of record — managing inquiries, event records, BEOs, and post-event close-out documentation.
  • Draft and distribute BEOs for assigned events, incorporating all F&B requirements, timing, setup specifications, and special instructions.
  • Manage pre-event vendor logistics — confirming bookings, tracking deliveries, coordinating rentals, florals, and AV, and flagging gaps to the Event Operations Manager in advance.
  • Support client communication during the planning phase — sending follow-ups, tracking approvals, assisting with tastings and site visits, and escalating anything requiring senior judgment.
  • Assist on the event floor with setup, guest check-in, timeline management, service coordination, and breakdown.
  • Liaise with the Wall Street Hotel’s sales and planning team on shared logistics and guest communication, ensuring JF Restaurants Food & Beverage operations stay fully aligned with the hotel’s broader event program.
