About The Position

SAWOO is seeking an experienced Event Coordinator/Host for executive networking gatherings in Brussels. This role involves assisting high-level executives (10-20 attendees) in a relaxed atmosphere with good food and drinks, held once a month in fine dining restaurants in the city center of Brussels. The events occur on a Wednesday or Thursday from 6:30 PM to 11:00 PM, with dates set at least 3 months in advance. The total time commitment per event is approximately 7-8 hours, including preparation, event execution, and follow-up.

Requirements

  • At least 2 years of experience in upscale hospitality (preferably in reception or service) or gastronomy.
  • Ability to interact confidently and professionally with international guests and executives.
  • Native speaker level English.
  • Fully committed, proactive, and eager to take initiative.
  • Reliable and pays great attention to detail in the preparation and follow-up of the meetups.
  • Open to feedback and new ideas.
  • Ability to attend all meetups, which occur once a month on a Wednesday or Thursday from 6:30 PM to 11:00 PM.
  • Ability to provide invoices.

Responsibilities

  • Print and prepare name tags and questionnaires for participants, as well as other materials for the meetup host.
  • Bring other smaller items, such as pens and clipboards.
  • Memorize participants' names for personal greetings.
  • Make minor preparations of the event venue and finalize arrangements with the meetup host and venue staff before guests arrive.
  • Warmly welcome guests and hand out name tags.
  • Check off and fill in the participant list.
  • Ensure that the service staff provides guests with food and drinks or actively ask guests for their drink preferences.
  • Support the meetup host with all matters during the event.
  • Take photos of the event for social media.
  • Film the introduction round for participant connection based on stated challenges and experiences.
  • Ensure that the agenda set by the meetup host is followed.
  • Ensure that guests fill out an exit questionnaire before leaving the meetup and collect these forms.
  • Fill out a small personal questionnaire to provide feedback about the event on the evening of the event.
  • Update the participant list with challenges mentioned during the introduction round and participants’ experiences (supported by video recording).
  • Ensure that the participant list is complete and correctly filled out.
  • Upload the participant list along with all questionnaires, photos, and videos on the evening of the event.
