About The Position

High Spirits Hospitality is seeking an Event Assistant to join their team. This is an entry-level, hybrid role offering the opportunity to gain experience in both event planning and event execution. The ideal candidate has a passion for the events and hospitality industry and is eager to grow within the field. This position typically offers opportunities for advancement within 1-2 years.

Requirements

  • Must be able to lift and move 50lbs without assistance.
  • Must be able to work independently without supervision.
  • Must have reliable transportation to and from work and work-related events.
  • Must have a valid Driver’s License with a clean driving record.
  • Must be able to operate company vehicles safely and efficiently.
  • Possess strong organizational, written, and verbal communication skills.
  • Must be at least 21 years of age.
  • Must be available for regular nights, weekends, and holidays.
  • Must adhere to the Company’s Wellness Policy.
  • Own a cell phone with text, voice, and data plan that can be used for work purposes.
  • Must use company technology tools appropriately.
  • Must be able to think critically and problem solve, sometimes in very high stress situations.

Responsibilities

  • Provide support to the event planning & sales team, ensuring they have the necessary tools and resources.
  • Communicate with potential customers, manage administrative tasks, and update technology and tools.
  • Respond to and process client inquiries via phone and email promptly, preferably within one hour during business hours.
  • Filter client requests to the appropriate team members.
  • Update client notes, timelines, layouts, invoices, proposals, and payment schedules.
  • Schedule client meetings.
  • Complete automated tasks assigned by the CRM system.
  • Oversee the event vendor approval & tracking process.
  • Tour potential clients on the event spaces, selling the company's spaces and services.
  • Compile and present reports on company sales, customer satisfaction, market trends, and performance rates.
  • Assist with wedding coordination.
  • Run errands and take on special projects as needed.
  • Become an expert on all company products and services, communicating details and policies to clients.
  • Ensure customer service standards are met and manage client conflicts according to company values.
  • Communicate feedback regarding staff performance to the appropriate personnel.
  • Supervise events at Judson Mill and The 405 venues, providing guidance, direction, and motivation to event staff.
  • Ensure successful venue operations, including set-up, event execution, and breakdown.
  • Work with clients to address their needs and exceed expectations during events.
  • Communicate with and monitor outside vendors to ensure adherence to policies and task completion.
  • Handle emergencies and issues as they arise.
  • Ensure building life safety plans are followed.
  • Provide emergency support for off-site events and short-term rental guests during shifts.
  • Set up and break down event tables, chairs, decor, and other equipment.
  • Complete light cleaning duties before, during, and after events.
  • Document event details, inventory, and recap reports through digital forms.
