ESL Program Assistant, Adult Education

About The Position

This role supports the Adult Education department, specifically focusing on the ESL program. The ESL Program Assistant is responsible for managing student online learning programs, participating in the department's assessment team, creating and managing digital attendance sheets, performing data entry and updates, maintaining inventory, supporting partner ESL programs, and serving as a member of the Adult Education Team. A key aspect of this role is promoting a Culture of Belonging, ensuring all students, faculty, and staff feel welcomed, valued, and empowered.

Requirements

  • High school graduate or GED.
  • One (1) year experience as a program or office assistant or other related work or training.

Responsibilities

  • Set up and adjust students’ online learning programs, including setting up online accounts, adjusting classes, and troubleshooting login/password issues.
  • Prepare and send student materials as needed.
  • Participate in the department assessment team, assisting with student orientations and proctoring.
  • Understand the testing system to advise and troubleshoot.
  • Use databases to set up Excel testing spreadsheets and student testing hours.
  • Notify students for post-assessments.
  • Create, populate, and adjust online/digital attendance sheets for ESL instructors.
  • Share attendance sheets with appropriate instructors.
  • Populate online attendance quarterly and manage student additions/moves due to class changes and late registrations.
  • Perform changes to data sources, including adding new instructors and updating student information in the state reporting system.
  • Maintain book and materials inventory, alerting staff to textbook needs and printing requirements.
  • Support making print orders.
  • Support data collection and entry for partner ESL programs, including entering enrollment paperwork and keeping testing data up-to-date.
  • Complete student files and forward them to appropriate staff.
  • Serve as a Member of the Adult Education Team, attending meetings and contributing constructively.
  • Communicate regularly with supervisor and others in the department.
