The Equipment Operator ensures the delivery of quality vehicle services essential to the effective and efficient administration and delivery of the executive vehicle management program within government policies, procedures, and reporting in support of the requirements of the enterprise and inline with the ministry’s policies and goals. This position is relied on to monitor related processes and procedures to ensure clients have access to vehicles required to achieve their business goals and meet operational requirements. A high level of sensitivity and diligence must be applied to ensure delivery is in full compliance with applicable legislation, regulations, policies, directives, and business plan goals.

Requirements

  • High school diploma and six months of experience in operating, maintaining, and servicing light vehicles; or an equivalent combination of education and experience.
  • A valid class 5 driver's license and a drivers' abstract consent form are required.
  • Equivalency: Additional directly related experience may be considered in lieu of education on a one-for-one basis.

Nice To Haves

  • Strong understanding of vehicle fundamentals including major systems and components as well as makes, models, specifications, vehicle classes, trim levels, maintenance, OEM maintenance standards, and after-market equipment.
  • A strong mechanical aptitude is required.
  • Ability to push, pull and lift heavy items and objects (up to 50 pounds).
  • Able to work in a warehouse environment.
  • Demonstrate good mobility and dexterity as position may require walking and standing for significant periods of time.
  • Adapt to changes in operational requirements, such as hours of operations or procedures.
  • Work in a team environment and have the ability to maintain a neat and clean work environment, including all related designated areas.
  • Navigate sensitive or politically complex situations while maintaining professionalism and ensuring alignment with organizational objectives.

Responsibilities

  • Coordinate and manage the delivery of the executive vehicle program to meet the needs of executive vehicle operators and their support staff.
  • Provide 24/7 emergency support for Ministers, Speaker, and Deputy Speaker, addressing critical issues such as travel breakdowns or safety concerns.
  • Schedule and oversee maintenance, repairs, refueling, and cleaning for Executive Council vehicles, ensuring temporary replacements are arranged when required.
  • Manage warranty claims, insurance matters, and recall repairs for executive vehicles.
  • Maintain records of maintenance and repairs and ensure all vehicle documentation is accurate and complete.
  • Collaborate with vendors to coordinate vehicle maintenance and resolve issues related to fueling, repairs, and aftermarket services.
  • Inspect newly delivered vehicles for compliance with specifications and arrange pre-disposal preparations for retired vehicles.
  • Promote collaboration with government ministries, manufacturers, and service providers to enhance fleet operations.
  • Manage and maintain accurate electronic and paper records for the executive vehicle program in compliance with GoA records retention policies.
  • Update fleet maintenance history, odometer readings, and contact information in the Fleet Management Information System.
  • Reconcile fuel and maintenance receipts with monthly financial reports and ensure proper filing.
  • Support the Team Lead in obtaining executive sign-offs on rental agreements and other required documentation.
  • Oversee the proper use of fleet cards and ensure compliance with guidelines.
  • Determine daily workload priorities and ensure timely delivery of services.
  • Maintain a fleet of approximately 20 Executive Council vehicles and 4 pool vehicles, ensuring operational readiness.
  • Handle inquiries related to fleet policies and preventive maintenance, providing recommendations and approvals as required.
