About The Position

We are seeking a compassionate and highly organized Enrollment Specialist to guide families through the intake and onboarding process for ABA services. This individual will serve as the primary point of contact for prospective families, ensuring a smooth and supportive experience from initial inquiry through the start of services. The Enrollment Specialist will be responsible for managing referrals, coordinating assessments, verifying insurance benefits, maintaining clinic waitlists, and collaborating with clinical and operational teams to facilitate timely admissions. This position plays a critical role in helping families access life-changing services while supporting the continued growth of MonArk ABA.

Requirements

  • High school diploma required
  • Minimum of 2 years of experience in healthcare intake, admissions, enrollment coordination, or customer service.
  • Strong communication and relationship-building skills with families and caregivers.
  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
  • Proficiency with Microsoft Office, Google Workspace and electronic health record (EHR) systems.

Nice To Haves

  • Associate's or Bachelor's degree preferred.
  • Experience verifying insurance benefits and obtaining authorizations preferred.
  • Experience in ABA therapy, behavioral health, autism services, or pediatric healthcare preferred.

Responsibilities

  • Serve as the primary point of contact for prospective families seeking ABA services.
  • Respond promptly to inquiries received through phone calls, emails, and referral sources.
  • Educate families regarding ABA services, eligibility requirements, funding options, and the enrollment process.
  • Collect, review, and maintain intake documentation for completeness and accuracy.
  • Verify insurance benefits and communicate coverage information to families.
  • Coordinate initial assessments with Clinical Directors and BCBAs.
  • Manage clinic waitlists and placement opportunities across all MonArk locations while maintaining an active enrollment pipeline that supports future growth.
  • Collaborate with Marketing, physician referral sources, and community outreach efforts to ensure a consistent flow of qualified referrals and a healthy enrollment funnel.
  • Collaborate with the leadership team weekly to allow timely admissions and service starts.
  • Track enrollment activity, referral sources, waitlist status, and key intake metrics.
  • Ensure compliance with HIPAA guidelines and maintain confidentiality of client information.
  • Provide exceptional customer service and support to families throughout the enrollment process.
