About The Position

The Enrollment Coordinator serves as the steward of the Tribe's official membership records and is responsible for administering the Tribal enrollment program in accordance with the Native Village of Eyak Constitution, Enrollment Ordinance, and Tribal policies. This position preserves the historical, legal, and cultural integrity of Tribal citizenship while ensuring accurate enrollment records, supporting Tribal governance, and providing quality member services for current and future generations.

  • Experience using cloud-based storage and collaboration platforms (e.g., SharePoint).

  • Experience with database management systems and maintaining accurate electronic records.
  • High School diploma or equivalent.
  • Three (3) years of progressively responsible administrative experience involving records management, customer service, legal or regulatory documentation, enrollment administration, benefits administration, government services, or a related field.
  • Experience maintaining confidential records and working with sensitive personal information.
  • Must possess a valid driver’s license and maintain an insurable driving record in accordance with the company’s auto insurance policy requirements.

Nice To Haves

  • Associate degree in Tribal Administration, Tribal Governments, or related field. Relevant work experience may substitute for post-secondary education.
  • Experience working for a Tribal government, Alaska Native organization, or other sovereign government.
  • Experience with Tribal enrollment, genealogy, vital records, or lineal descent research.
  • Knowledge of federal Indian law, Tribal sovereignty, and Bureau of Indian Affairs enrollment processes.

Responsibilities

  • Serves as the official custodian of Tribal enrollment records, maintaining the integrity, security, accuracy, and confidentiality of all enrollment files and Tribal membership data.
  • Administers the Tribe's enrollment program in accordance with the Native Village of Eyak Constitution, Enrollment Ordinance, Tribal policies, and applicable federal regulations.
  • Coordinates the complete enrollment lifecycle, including receiving applications, verifying eligibility, reviewing supporting documentation, tracking application status, and facilitating review by the Enrollment Committee and Tribal Council.
  • Serves as the primary point of contact for Tribal citizens and applicants regarding enrollment, membership status, Tribal identification, lineal descent verification, constitutional requirements, and enrollment procedures.
  • Assists Tribal citizens with navigating enrollment-related matters throughout all stages of life, including births, adoptions, marriages, name changes, deaths, and family lineage updates.
  • Maintains and updates all enrollment classifications and records, including Active Tribal Members, Inactive Tribal Members, Descendants, Honorary Members, Beneficiaries, Non-Members, and other membership categories established by Tribal law.
  • Coordinates the issuance of Tribal Identification Cards by ensuring all required documentation, approvals, and records are complete prior to production and distribution.
  • Assists Tribal citizens with obtaining Certificates of Indian Blood (CIBs), Bureau of Indian Affairs documentation, and other enrollment-related records and applications.
  • Administers the annual residency verification process in accordance with Tribal policies, ensuring residency classifications remain accurate for elections, program eligibility, reporting, and other Tribal governance functions.
  • Prepares monthly, quarterly, and annual enrollment reports, statistical summaries, and membership updates for Tribal leadership and administration.
  • Analyzes enrollment trends and membership data to assist Tribal leadership with long-term planning and organizational development.
  • Provides enrollment verification and proof of Tribal membership for programs including Indian Child Welfare Act (ICWA), healthcare eligibility, education, housing, grants, benefits, scholarships, and other governmental services.
  • Coordinates with Ilanka Community Health Center, patient advocates, and other healthcare entities to facilitate timely verification of Tribal enrollment and Indian blood documentation for medical services and third-party billing.
  • Monitors changes to member information, including births, deaths, name changes, addresses, contact information, and family relationships, while maintaining complete historical records.
  • Develops informational materials, application packets, brochures, and educational resources to help Tribal citizens understand enrollment requirements, membership classifications, rights, and available services.
  • Prepares, verifies, and maintains the official annual Tribal voter eligibility list in accordance with the Native Village of Eyak Constitution, Election Ordinance, and Tribal enrollment records.
  • Upholds the highest standards of confidentiality, ethics, professionalism, and stewardship when handling sensitive Tribal records and personal information.
  • Maintains well-organized physical and digital Tribal Member files through standardized filing systems, document retention practices, and electronic records management to ensure efficient access and data integrity.
  • Ensures the integrity of the Tribe's official enrollment records through quality assurance, internal audits, and ongoing verification of member information.
  • Participates in professional development and remains current on Tribal enrollment best practices, federal Indian law, and records management standards.
  • Demonstrates respect for Native Village of Eyak culture, traditions, values, and sovereignty in all interactions and administrative responsibilities.
  • Works safely in accordance with OSHA regulations and company safety policies.
  • Immediately reports unsafe conditions, hazards, or injuries to HR or the designated safety contact.
  • Attends all mandatory special events, meetings, and trainings.
