About The Position

The enrollment assistant supports enrollment services by providing a welcoming and efficient experience for families entering the organization’s center-based programs. This role assists with day-to-day enrollment activities, including responding to inquiries, helping families complete applications, maintaining accurate records, and ensuring required documentation is collected and organized. With a strong focus on customer service and attention to detail, the enrollment assistant helps facilitate a smooth enrollment process while building positive relationships with families and collaborating with internal teams to support program capacity and organizational goals.

Requirements

  • Computer skills, including a command of Excel and other Microsoft Office applications.
  • General clerical and data entry experience.
  • Ability to type 40 words per minute with minimal errors.
  • A strong attention to detail and effective organizational skills.
  • Ability to correctly and effectively communicate in written and oral English.
  • Exceptional interpersonal skills with sensitivity to the unique needs of families and children, including those with special needs or who are at risk.
  • Ability to adapt to changing demands and workload.
  • Experience working with diverse, low-income populations.

Nice To Haves

  • A California driver’s license, daily use of an automobile, and automobile liability insurance.
  • Experience and/or training in state and federally funded children’s programs, with particular focus on eligibility and need requirements.
  • Command of Spanish, Cantonese, Mandarin, or Vietnamese.

Responsibilities

  • Maintaining knowledge of all current requirements for families receiving subsidized services in accordance with the Education Code, the California Department of Education’s Title 5 regulations and funding terms and conditions, Community Care Licensing Title 22 regulations and administrative requirements, and Head Start performance standards.
  • Assisting with scheduling parents for enrollment or recertification appointments at school sites or virtually.
  • Providing timely outreach and support to families in the enrollment or recertification process by offering clear guidance, consistent communication, and follow-up in alignment with procedures, while ensuring the database is accurately and promptly updated to reflect each family’s status and outcomes.
  • Accurately completing required monthly and weekly reports in a timely manner.
  • Collaborating with education staff in matters related to enrollment, attendance, and parent communication.
  • Reviewing and managing attendance according to policies and procedures for assigned caseload.
  • Providing general clerical support to department staff.
  • Providing phone support during assigned call queue periods, ensuring families are promptly connected to the right personnel or department.
  • Assisting the enrollment supervisor, enrollment manager, and center-based enrollment director as needed.
  • Actively participating in all training provided by the organization and department.
  • Build strong rapport with enrolled families, new families, and external social services agency personnel.
  • Bringing a team-oriented, collaborative, and positive attitude to the Center-based Enrollment Department.
  • Reading and implementing all organization and program policies and procedures.
  • Performing other duties as assigned.
