About The Position

The Engineering & Food and Beverage Administrative Assistant provides comprehensive administrative, clerical, and operational support to both the Engineering and Food & Beverage departments. This dual-role position is responsible for maintaining organization, supporting reporting and financial processes, coordinating communication, and ensuring seamless day-to-day operations across two critical divisions of the resort. This role plays a key part in pre-opening and ongoing operations by supporting maintenance systems, vendor coordination, scheduling, inventory tracking, and departmental documentation while also assisting with F&B reporting, event coordination, and team communication. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, multi-department environment aligned with Dellshire Resort’s elevated service standards.

Requirements

  • High school diploma or equivalent required
  • 2–3 years of administrative experience
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
  • Strong organizational, multitasking, and time management skills.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy.
  • Ability to manage multiple priorities across departments in a fast-paced environment.
  • Professional demeanor with a strong commitment to confidentiality and service excellence.

Nice To Haves

  • Associate’s or bachelor’s degree in Hospitality, Business, or related field preferred.
  • Hospitality, engineering, or food & beverage experience strongly preferred.
  • Experience with CMMS/MMS, POS systems, or scheduling systems preferred.

Responsibilities

  • Provide administrative support to the Chief Engineer, Director of Food & Beverage, and departmental leadership teams.
  • Manage daily correspondence, calendars, meeting coordination, and departmental communications.
  • Maintain organized filing systems for both departments, including reports, compliance documentation, contracts, and records.
  • Input, track, and close work orders within the maintenance management system (CMMS/MMS).
  • Assist in scheduling and tracking preventive maintenance for guest rooms, public areas, and equipment.
  • Coordinate vendor services, inspections, and equipment maintenance schedules.
  • Maintain inventory of engineering supplies, tools, and replacement parts; assist with ordering and receiving.
  • Support documentation related to safety compliance, onboarding, and training records for Engineering team members.
  • Maintain schedules, labor reports, training records, and departmental documentation.
  • Assist with preparation of financial, labor, and productivity reports.
  • Support banquet and outlet operations through administrative coordination.
  • Assist with onboarding, employee records, and attendance tracking in alignment with HR standards.
  • Coordinate vendor communications, product orders, and deliveries for F&B operations.
  • Serve as a liaison between departments, vendors, and internal teams to ensure smooth operations.
  • Prepare memos, reports, and internal communications aligned with Dellshire Resort standards.
  • Respond to internal inquiries and route requests appropriately.
  • Maintain confidentiality of sensitive operational, financial, and personnel information.
  • Support pre-opening initiatives, audits, and special projects.
  • Perform additional duties as assigned by leadership.
