POSITION SUMMARY: Provides intensive administrative support (as determined by direct supervisor) to Employment Services programs and/or the organization in general which may include compressive case file management, data base management, billing funders (monthly), follow up services regarding benefit status, monthly/quarterly/yearly reports, statistical gathering, assistance with internal audits, funding agencies compliance, CARF compliance.

Requirements

  • GED or High School education required
  • One to two years related experience preferred.
  • Must complete GISD Job coach training program within 90 days of hire.
  • MS Office Suite.
  • Strong E-mail communication skills.
  • Advanced case management skills.
  • Must have ability to learn client tracking software, ETO database.
  • Must be able to pass all required criminal background checks and become First Aid & CPR certified.
  • Must have a valid CA driver’s license and current insurance, and be able to pass Goodwill’s insurance company requirements for driving on company time.

Responsibilities

  • Provides office support, customer service, and greets and directs visitors to appropriate staff.
  • Assembles training and updates materials for ES Programs. Assists ES programs with filing, monitoring, and maintaining participants’ physical and electronic files and spot audits of files and SMART goal progress.
  • Prepares supply requests and obtains appropriate approval signatures, and follows up on orders. Handles mailbags to and from corporate office.
  • On a monthly basis (as determined by the direct supervisor) tracks Job Coach III site visits, vehicle inspections, assists in setting up CPR/1st Aid training of ES personnel, audits ES mileage prior to submitting to accounting.
  • Utilizes administrative calendar on share drive to ensure all administrative functions are being completed in a timely manner.
  • Maintains excellent communication with all ES staff to support positive outcomes and to 2 proactively resolve department administrative issues. Regularly meets with supervisor to discuss administrative concerns and attends staff meetings when directed.
  • Conducts department huddles and performs other miscellaneous duties as required.
