About The Position

As a member of Allegis Group's Corporate HR Shared Services department, the Employment Screening Sr. Coordinator is responsible for providing customer service to our Corporate partners and field offices across all our Operating Companies for any employment screening related items. This is including but not limited to, pre-employment background screenings, drug and alcohol testing and medical exams. In addition, the Employment Screening Sr. Coordinator will assist with providing analytics to monitor Operating Company compliance to Company policies and move the Program forward. This position will support the US and Canadian Employment Screening Programs. Responsibilities include partnering with Field Support Group, Allegis Compliance teams and screening vendors on daily inquiries as it relates to our programs. The Employment Screening Sr. Coordinator will support various business processes and procedures. Additionally, the position requires a functional knowledge of concepts, practices, and procedures within the employment screening industry, specifically drug testing and occupational health programs that may affect the company's use in the hiring process and drug screening program throughout the employee life cycle. Required in-office presence at least 4 days per week.

Requirements

  • Bachelor's degree in Human Resources, Business or Criminal Justice preferred
  • 3-4 years practical business experience in operations and/or human resources
  • Knowledge of drug testing state laws preferred and FCRA preferred.
  • Proven ability to thrive in both independent and team-oriented environments that foster openness, honesty, and healthy competition.
  • Strong initiative with a proactive approach to driving accountability and continuous improvement.
  • Exceptional problem-solving and analytical skills, with the ability to diagnose complex issues and make sound, fact-based decisions.

Responsibilities

  • Consultative to the business on all processes related to US and Canadian drug testing, occupational health and background check screenings.
  • Partners with offices to provide education and any necessary training.
  • Build strong working relationships with field support leadership in the operating companies, as well as ER, HR and Legal, Operating Company Compliance Groups and Health & Safety Managers.
  • Conduct trainings and presentations to the field support partners as requested on drug, occupational health, and backgrounds.
  • Act as a strategic liaison between field offices, corporate personnel, and the background screening provider to ensure seamless coordination and resolution of employment screening matters.
  • Respond to tier 1 and 2 emails through HR Matters pertaining to background checks, drug and occupational health screenings.
  • Evaluate completed background screening results and investigation to adjudicate candidates' eligibility for employment based on Allegis Group, Client, State and Federal law, and Fair Credit Reporting Act ("FCRA") requirements.
  • Complete tracking of select background check outcomes requiring manual adjudication to ensure alignment with state-specific protocols and enterprise standards.
  • Engage with field office personnel to obtain information essential for the adjudication of background check results.
  • Collaborate with field offices and corporate stakeholders to define and document custom client adjudication criteria for background checks, including translating written client requirements into tailored and compliant screening services, while ensuring alignment with company policy and applicable legal standards.
  • Review/Redline Service Agreements and Client Requirement guides to determine testing requirements and ability to comply with client requirements.
  • Complete and prepare Exhibit B addendums for specialty drug testing panels.
  • Contact for eScreen and First Advantage integration questions and support as needed for drug, medical and background check and occupational health programs.
  • Implementation, management, and oversight of random drug testing programs and scheduling.
  • Implement any regulatory updates needed for background check forms, drug testing and workflow changes within onboarding automation systems, including but not limited to Smart ERP and Bullhorn.
  • Understand and perform job related duties within the onboarding automated systems (HRM) or Applicant Tracking Systems (ATS) including but not limited to Automated Candidate Tracking (ACT), Bullhorn, Connected, and Smart ERP.
  • Investigate and resolve customer, vendor, and service-related issues to maintain program integrity and ensure timely resolution of escalations.
  • Completes ad-hoc projects as needed.
  • Evaluate processes and identify opportunities for increased efficiencies and process improvement to support the team and the business.
  • Completes and delivers daily and weekly reporting for drug, occupational health, backgrounds, and Team Metrics related reporting.
  • Maintaining Degreed training for Employment Screening Team.
  • Make updates to team's training materials and documents.
  • Serve as secondary escalation point of contact for customers or team member questions or issues.
  • Assist HR Manager with other department related projects or tasks as needed.
  • Promote a fun, inclusive and supportive team culture where new ideas are welcomed.
  • Establish new alternative vendor accounts, employment screening packages or drug test panels as needed.
  • Maintain and update user access to vendor sites.
  • Conduct audits of background packages, and drug & background alternative vendors
  • Provide training and education to field offices and corporate partners on vendor systems and policies and processes.
