About The Position

The Employee Account Services Representative role supports Occupational Medicine activities related to scheduling or business office operations. These responsibilities include, but are not limited to: appointment scheduling, referrals, account validation, charge entry, invoicing, payment posting, account reconciliation, aging follow-up, and billing issues resolution. The role supports system processes, workflow consistency, and third-party administrator coordination to ensure accurate service delivery and efficient business operations.

Requirements

  • Minimum of two years work experience in Occupational Health or business office required.
  • Proficiency in computer skills.
  • Ability to use a multi-line telephone system.
  • Ability to multi-task and perform a wide range of job duties related to business operations from scheduling, account setup and validation to billing.
  • Strong organizational skills.
  • Ability to learn various programs utilized in the health system.
  • Ability to perform essential duties without direct day-to-day management.

Nice To Haves

  • Associate degree in business/public relations preferred.

Responsibilities

  • Scheduling of appointments for various clinics and services.
  • Reviewing procedure orders and appropriately scheduling necessary resources.
  • Resource management and conflict resolution.
  • Serving as a liaison between various Occupational Medicine departments.
  • Managing provider schedules.
  • Answering phone calls related to business services (scheduling, billing, account verification, etc.) in a professional manner.
  • Distributing messages promptly per established processes.
  • Completion of referrals.
  • Setting up new client accounts and updating existing accounts accurately and efficiently.
  • Ongoing maintenance of current company accounts to ensure correct service provision.
  • Developing relationships and providing excellent customer service.
  • Supporting the maintenance of the computer system.
  • Representing the services Occupational Medicine Clinic offers and serving new and existing clients.
  • Identifying new service opportunities by assessing customer needs and collaborating with management.
  • Seeking assistance from service matter experts regarding company inquiries or requests.
  • Integrating system processes and standards for services, initiating company-specific customization.
  • Working accounts throughout the entire revenue cycle, including entering service charges, invoicing, payment posting, reconciling balances, and collections.
  • Providing additional business support to clients.
  • Processing aging reports while diligently working aged accounts prior to sending to collections.
  • Identifying and promptly resolving billing complaints.
  • Demonstrating experience in a diverse team environment, including coordination, problem-solving, and consensus-building skills.
  • Training and mentoring new employees.
