About The Position

The Anticipated Elementary Secretary position at LeTort Elementary School is a 207-day per year role with a salary of $15.64/hr for 37.5 hours/week. The primary function of this role is to ensure the smooth and efficient daily operations of the school building, manage the front office, interact with various stakeholders, assist with discipline and student accounting, manage attendance, oversee building usage, support school events, perform scheduling and financial duties for administrators, handle general communication and clerical tasks, assist with student supervision, and complete other assigned duties. The position requires specific security clearances and certifications.

Responsibilities

  • Oversee daily building operations to ensure smooth and efficient functioning, including classroom coverage, managing substitutes, tracking coverages and payments, supporting counseling and nurse offices, communicating updates from service providers, managing the building "hallpass" system, and handling parent notes.
  • Maintain oversight of the front office, including greeting and directing visitors, students, and staff, ensuring adherence to visitor procedures, managing volunteers and student teachers, and monitoring individuals in the office.
  • Maintain strong and supportive relationships with parents, students, and staff, evaluate stakeholder needs, and serve as an initial point of contact for questions and concerns.
  • Assist with the oversight and management of the disciplinary system, including processing referrals, entering discipline records, preparing discipline letters, tracking detention and suspension lists, and communicating relevant information.
  • Oversee functions related to student accounting, including maintaining accurate student records, monitoring student information collection, and tracking student enrollments across programs.
  • Assist with the management of attendance policies and procedures, including entering attendance information, preparing attendance letters, tracking student absences, and preparing attendance reports.
  • Maintain oversight of building usage, including scheduling and tracking room/building usage, monitoring reservation of shared spaces, and responding to facility concerns.
  • Assist with the implementation of various school events and activities, including maintaining schedules and calendars, organizing and preparing for events, scheduling rooms, preparing event materials, and reserving transportation.
  • Perform scheduling tasks for supervisors/administrators, including scheduling meetings, teacher observations, special events, and out-of-district events.
  • Assist the building administrator with financial duties, including maintaining budgets, requisitions, and purchase cards, reconciling budgets, counting money, making deposits, and maintaining ledger accounts.
  • Communicate with stakeholders as required, including managing faculty and staff emails, preparing family and parent communications, and creating building newsletters.
  • Perform general clerical duties, including communicating via email and phone, handling mail, scheduling appointments, preparing and filing documents, ordering supplies, and placing work orders.
  • Assist as assigned with student supervision, such as monitoring students in the front office area or assisting with special events.
  • Complete administrative responsibilities related to specific positions, buildings, and/or levels, such as course selection, coordination of state assessments, worker permits, and coordination of safety drills.
  • Perform other responsibilities as assigned.
