About The Position

Aspire Living & Learning is currently seeking an Electronic Health Record Specialist to be responsible for supporting, maintaining, and optimizing the organization’s Electronic Health Record (EHR) system across a multi-state environment. This role serves as a key resource for ensuring the EHR system supports high-quality service delivery, regulatory compliance, documentation accuracy, and operational efficiency. The EHR Specialist works collaboratively with program leadership, clinical and nursing teams, quality and compliance staff, training teams, and IT to support day-to-day system use, improve workflows, assist with upgrades and enhancements, and promote consistent documentation practices across the organization.

Requirements

  • High School degree required.
  • Minimum of 2–4 years of experience working with an Electronic Health Record system required.
  • Strong understanding of Electronic Health Record systems, workflows, and documentation practices.
  • Knowledge of healthcare or human services documentation requirements and the importance of data accuracy, timeliness, and compliance.
  • Ability to translate operational, clinical, and regulatory needs into practical system workflows.
  • Strong troubleshooting and problem-solving skills with close attention to detail.
  • Excellent written and verbal communication skills, with the ability to explain technical information to non-technical users.
  • Strong interpersonal skills and ability to work collaboratively across departments and levels of the organization.
  • Ability to develop training materials and provide effective staff training and coaching.
  • Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook.
  • Ability to maintain discretion and handle confidential information appropriately.
  • Commitment to supporting high-quality, person-centered services for individuals with intellectual and developmental disabilities.

Nice To Haves

  • Bachelor’s degree in health information management, healthcare administration, information systems, human services, nursing, social work, or a related field preferred.
  • Experience in healthcare, behavioral health, human services, or ID/DD services strongly preferred.
  • Experience supporting multi-site or multi-state operations preferred.
  • Experience with system administration, workflow design, training, or implementation support preferred.
  • Experience with EHR platforms used in human services, behavioral health, or ID/DD settings.
  • Experience with incident tracking, medication administration records, service documentation, health tracking, billing-related documentation, or compliance monitoring within an EHR.
  • Experience working with system vendors and participating in software testing or implementation projects.
  • Familiarity with HIPAA, Medicaid documentation requirements, and state-specific service documentation expectations.
  • Experience creating reports, dashboards, or data validation processes related to EHR data.
