About The Position

The EHSS Coordinator provides administrative and organizational support to the Environmental, Health, Safety, and Security functions at the terminal. This position plays a key role in maintaining accurate records, supporting compliance documentation, improving administrative processes, and ensuring the efficient handling of field and office paperwork. The role requires a highly organized, detail-oriented individual who can manage multiple priorities, maintain confidentiality, and interact professionally with employees, contractors, visitors, and regulatory agencies.

Requirements

  • High school diploma or equivalent required
  • Minimum of 2 years of compliance support, or document control experience preferred.
  • Experience in an industrial, terminal, manufacturing, construction, environmental, or safety-related setting is preferred.
  • Valid Driver’s License
  • TWIC (Transportation Workers Identification Credentials) for access to IMTT’s terminal locations.
  • Clear and concise written and verbal communication skills in the English language.
  • Ability to understand written and verbal communication in the English language.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Ability to manage multiple assignments, prioritize work, and meet deadlines with limited supervision.

Responsibilities

  • Assist with the management of solid and hazardous waste activities, including sampling, analysis, and coordination of proper disposal.
  • Maintain and update the terminal waste disposal tracking system to ensure complete, accurate, and timely recordkeeping.
  • Enter hazardous and non-hazardous waste manifests into appropriate databases and tracking systems.
  • Track and organize compliance-related paperwork, ensuring documents are complete, properly filed, and readily retrievable.
  • Scan, organize, and digitally file field documentation, including but not limited to work permits, job safety analyses, waste manifests, inspection forms, and other operational records.
  • Support document control processes to ensure records are maintained in accordance with company procedures and retention requirements.
  • Assist in assigning and tracking administrative tasks related to EHSS reporting, filing, and record maintenance.
  • Develop, improve, and implement processes for collecting required information from field specialists and other terminal personnel.
  • Create, update, and maintain forms, spreadsheets, logs, and other administrative tools to support EHSS and terminal operations.
  • Provide support to internal, third-party, customer, and regulatory agency audits and inspections.
  • Assist with financial tracking for remediation work, waste disposal, security services, and other EHSS-related expenditures, with awareness of overall terminal P&L impacts.
  • Perform other duties and special projects as assigned.
