About The Position

The Electronic Health Record Support Specialist assists with accurate, efficient, and compliant use of the agency electronic health record (EHR) system. The position maintains EHR information and documentation tools, monitors documentation workflows and quality, provides routine user support and training, and assists with system testing, reporting, and implementation activities.

Requirements

  • High school diploma/GED required
  • Basic EHR knowledge to develop electronic forms, templates, tools, and workflow configurations.
  • Strong attention to detail, accuracy, organization, problem solving, communication, time management.
  • Microsoft Office proficiency with the ability to manage competing priorities and deadlines.
  • Reliable transportation required
  • Legal use of transportation when driving for work purposes.

Nice To Haves

  • Relevant associate degree preferred.
  • One year of administrative, healthcare, or customer-service experience preferred.
  • EHR experience preferred; Netsmart MyEvolv or behavioral health EHR experience strongly preferred.

Responsibilities

  • Enters, updates, and maintains information and other assigned data within the EHR.
  • Builds and maintains electronic forms, templates, assessments, and documentation tools within the EHR.
  • Updates forms and workflows to reflect regulatory, payer, agency, and operational changes; documents changes and tests functionality before deployment.
  • Monitors documentation workflows for completeness, missing information, and required documentation.
  • Generates routine reports and import/export files to assist with data, quality, and compliance initiatives.
  • Maintains EHR documentation manuals, training resources, records, and other system documentation.
  • Supports user-account maintenance and password resets within assigned access and security protocols.
  • Assists with maintaining accurate information and documentation practices consistent with agency policy, payer requirements, CARF standards, HIPAA, 42 CFR Part 2, and applicable regulations.
  • Serves as the first point of contact for EHR questions and assists users with navigating system issues.
  • Troubleshoots basic EHR issues and appropriately escalates technical, privacy, or security concerns.
  • Provides introductory EHR training as well as training on workflows and documentation standards.
  • Develops quick-reference guides, job aids, and training materials for users of varying computer proficiency.
  • Assists with testing new EHR functionality, forms, templates, and workflows before implementation.
  • Participates in EHR implementation projects and supports deployment of new features and processes.
  • Collaborates with departments to improve documentation efficiency and reinforce agency standards.
  • Notifies staff of documentation deficiencies and supports timely follow-up and correction processes.
  • Attends meetings related to EHR use, data and documentation, workflows, and system implementation.
  • Supports MHA’s mission through accurate records, responsive service, confidentiality, collaboration, and continuous improvement. Complies with HIPAA, 42 CFR Part 2, payer, and regulatory requirements.
  • Completes other duties and special assignments as requested by the EHR Administrator.
