About The Position

This position is within the Student Information Services department and can be part of either the Quality Assurance Team or the Student Records Management Team. The Quality Assurance Team focuses on creating, updating, and monitoring student households, assisting with student enrollment, and ensuring data accuracy for State Reporting. The Student Records Management Team handles requests for student records in compliance with FERPA, processes, and digitally archives cumulative folders and other student records, requiring strict confidentiality.

Requirements

  • High School diploma or GED required.
  • Working knowledge of the Family Education Rights and Privacy Act (FERPA) and the Nebraska Public Records Act.
  • Ability to discern and triage the priority level of varying tasks and communicate with stakeholders regarding how the priority level is determined.
  • Ability to clearly communicate processes and procedures.
  • Previous office experience dealing with student records and dealing with the public and district staff in person, on the phone, and via email.
  • Ability to complete tasks using complex reasoning skills.
  • Exceptional attention to detail.
  • Ability to interpret and carry out written and oral instructions and procedures.
  • Proficient and accurate keyboarding skills for data entry of student records.
  • Exceptional organizational skills.
  • Outstanding attendance and prior work record.
  • Ability to work independently and to meet demanding work schedules.
  • Ability to work cooperatively and maintain positive, harmonious working relationships with fellow staff members to promote a team approach.
  • Ability to communicate in person with the public and school personnel using tact and courtesy.
  • Ability to maintain strict confidentiality of information in compliance with FERPA.
  • Use of Microsoft Office applications, with significant use of Word, Excel, Teams, and Outlook (calendar and email).
  • Ability to retrieve records from web-based applications.
  • Must be able to respond rapidly in emergency situations.
  • Must have organization, time management, communication, and interpersonal skills.
  • Ability to lift, move, and reposition objects and materials - frequently exerting force equal to lifting 20 to 40 lbs.

Nice To Haves

  • Experience with Infinite Campus (the student information system for the Omaha Public Schools) is highly preferred.
  • Ability to speak Spanish, preferred.
  • Knowledge of Adobe Pro is preferred.

Responsibilities

  • Process online enrollments in Infinite Campus.
  • Create students, parents, staff, and other persons in Infinite Campus.
  • Create and modify complex household structures.
  • Enroll students in schools and programs using the state-mandated setup.
  • Maintain and update address data in Infinite Campus, including zip+4, block, tract, location, and school district, using SchoolSearch county assessor websites and USPS information.
  • Identify and correct inaccurate data using ad hoc queries and custom reports.
  • Read and understand legal documents in conjunction with guardianship updates.
  • Provide technical support via phone and email to school secretaries and other school staff regarding Infinite Campus and SIS processes.
  • Retrieve data from the Nebraska Dept of Education (NDE) and Health and Human Services website for the updating of students in the foster care system and exempt school program.
  • Monitor the location and distribution of student records across all past OPS student information systems, including paper, mainframe, SASI, and Infinite Campus.
  • Investigate, collect, review, and redact records for public records requests and subpoenas related to student educational records, including email communication.
  • Prepare records for document storage and for the release of records using Tools in Adobe Pro.
  • Scan and upload files into the student information system and the archival records system.
  • Work with the public in person, via email, and via telephone to provide student records, verifications, duplicate diplomas, and work permits.
  • Use ad hoc queries and custom reports to produce student lists for school photographers, community partners, and the military.
  • Perform other related tasks as assigned by supervisor and other central office administrators as designated by the Superintendent.
