About The Position

This role is responsible for leading monthly reporting, forecasting, annual planning, controls, business support and financial analysis for technology partners, ensuring that activities are completed accurately, on time, provides insight & support decision making. These activities may include detailed review & documentation of process workflows, interaction with Management within the organization and across various business lines, development and implementation of new processes and policies to improve efficiencies and enhance controls.

Requirements

  • Post-secondary education and 1+ year of experience in customer service, workplace operations, office administration, hospitality, facilities, or a related field.
  • Strong customer service, communication, organizational, and problem-solving skills.
  • Experience working in a fast-paced environment while managing multiple priorities independently.
  • Proficiency with Microsoft Office Suite, including Teams, Outlook, Excel, PowerPoint, and Word.
  • Familiarity with meeting room technology, videoconferencing tools, and workplace systems.
  • Ability to build strong relationships with employees, business partners, and external stakeholders.
  • Primarily onsite position supporting workplace locations across the GTA and other regional office hubs as required.
  • Rotating shifts may include 7:30 a.m. to 4:00 p.m., 8:30 a.m. to 5:00 p.m., or 9:30 a.m. to 6:00 p.m.
  • Occasional lifting, event setup support, and movement throughout office locations may be required.
  • Flexibility to work from different office locations based on business needs.

Responsibilities

  • Serve as the first point of contact for employees, visitors, and partners, delivering an exceptional workplace experience in a professional and welcoming environment.
  • Manage day-to-day workplace operations, including employee onboarding/offboarding, access badges, parking, seating assignments, equipment coordination, and workplace support requests.
  • Monitor workplace occupancy, capacity, and space utilization using centralized reporting tools and maintain accurate employee population records.
  • Maintain office amenities, meeting spaces, and shared work environments, ensuring issues are resolved promptly and within service level agreements (SLAs).
  • Provide support and troubleshooting for meeting room technology, videoconferencing tools, and workplace collaboration platforms including Microsoft Teams, Outlook, and Viva Engage.
  • Coordinate with Real Estate, Building Services, Security, and other internal partners to resolve facility, maintenance, janitorial, HVAC, lighting, and operational issues.
  • Support workplace health, safety, and business continuity initiatives, including participation in OHS committees, fire drills, emergency response activities, and workplace communications.
  • Assist with invoice processing, budget tracking, expense management, and inventory oversight for office supplies and workplace amenities.
  • Gather employee feedback, identify opportunities for continuous improvement, and contribute to creating an engaging, inclusive, and collaborative workplace culture.
  • Plan and support employee engagement activities, town halls, learning events, workplace tours, and business line meetings.
  • Manage workplace communications by responding to inquiries, maintaining event calendars, and promoting initiatives through designated communication channels.
